Goodwill Industries of Kentucky is looking for an energetic, self-motivated, dynamic Scheduling Coordinator to join our team! The Scheduling Coordinator will provide support and technical assistance for the Agency’s administrative and managerial staff, as well as external organizations in scheduling use of the various conference and meeting rooms. Essential Duties and Tasks:
- Provides consistent experience with helpfulness whether responding to telephone callers, greeting guests, or communicating with employees.
- Responds to and resolves all internal and external requests regarding conference room reservations face to face, telephonically and via email.
- Responsible for overseeing that meeting rooms are ready for meetings scheduled each day including that the room is clean, the AV equipment is in working order and the necessary tables and chairs are available for the meeting/event.
- Communicate with custodial staff and facilities manager concerning any immediate attention that is needed regarding the cleaning of the meeting rooms and restroom facilities in the meeting center wing. Inform facilities manager if furniture, fixtures, lighting, etc. in the rooms need replacement or attention.
- Opens service tickets with the Help Desk for Information Technology to ensure awareness and resolution of equipment or technical issues identified with the operation of the conference rooms.
- Serves as gatekeeper for mail, telephone calls, and information requests, diverting these from the President/CEO and COO when appropriate.
- Communicate daily/weekly schedule of events in meeting rooms with necessary Goodwill staff and update as needed.
- Meeting/Greeting guests when they arrive, monitoring guests and activities in meeting rooms throughout the day and at the conclusion of the event to ensure guidelines are being followed.
- Performs other duties as assigned.
Education and Experience:
- High school diploma or equivalent.
- Must be able to type a minimum of 55 wpm.
- Must have strong verbal and written communication skills.
- Must be detail-oriented with the ability to plan, coordinate work efficiently and set priorities.
- Must have reliable transportation to and from work, proof of insurance, a valid driver’s license, and an acceptable driving record.
Physical Demands:
- This job may have physical requirements that are considered sedentary work. Sedentary work involves sitting for prolonged periods of time; good finger dexterity and feeling; frequent repetitive motions; talking, hearing, and visual acuity.
- Must be able to lift at least 20 pounds. Light lifting/moving of tables/chairs to set up a meeting room required.
- Travel to other locations beyond the assigned work location is rarely required.
