POSITION SUMMARY
The Accounts Receivable Clerk II will create, monitor and process AP and/or AR invoices, bills of lading, issue purchase orders (PO)/purchase requisitions, post and reconcile to ledger. Interacts with suppliers and team members to resolve billing or shipping errors, approving invoices for payment upon receipt of shipping documents, and releases recurring monthly supply orders for retail units.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Create a bill of lading for each approved customer based on the total weight sold; ensure that the total unit price for each customer is correct; confirm that the customer is to pick up their loads on the day agreed and verify load weights; verify with account status before loads are released.
- Create an invoice based on the bill of lading; verify that all calculations are correct and submit to each customer via email or mail.
- Maintain production log of what is being sold and the total weight of the bales for each customer. Tally and report results.
- Prepare and distribute customer statements on a monthly basis.
- Confirm if buyer is still eligible to receive shipments; receive and validate all shipments ordered by the warehouse staff; prepare and mail vendor IRS-required forms.
- Review and reconcile invoices with purchase orders and requisitions and follow up on discrepancies.
- Assist supervisor in processing invoices for other customers when needed.
- Cross train on Contracts processes (Contracts, Invoices, Rejections, etc.).
- Update the Retail Customer List for Sales Tax Exemption.
- Assist with the deposits for the corporate office cash receipts.
- Function as backup for other Accounting Clerks and payroll as required.
- Responsible for providing excellent customer service by greeting, assisting, and responding to questions and/or concerns in a positive, professional, and friendly manner.
REQUIREMENTS
- High School Diploma or GED
- Minimum 2-4 years accounting or bookkeeping experience preferred; Accounts Receivable experience preferred.
- Proficient in Microsoft Office Excel and Word and accounting systems; Great Plains experience a strong plus.
- Must be able to meet the physical requirements of the position.
- For positions that require driving, must maintain a valid driver’s license and automobile insurance coverage, and be able to travel as needed if you drive your vehicle during company business.
