Front Desk Administrative Assistant
WORK HOURS : Monday – Friday, 8 : 00 AM – 4 : 30 PM
As a Business Office professional, you will be responsible for performing administrative duties
that support the community under the direction of the Executive Director. Your responsibilities
will include processing new hire paperwork and overseeing various front office administrative
tasks. The ideal candidate must be able to pass a seven-year background check and possess a
clear Motor Vehicle Record. Some weekend work may be required. This role is within an
Independent Living Retirement Community.
GENERAL OFFICE DUTIES :
Answer and direct telephone calls, handling inquiries and assisting residents as needed.
Support department heads and staff in organizing and implementing services for
residents, families, and visitors.
Sort and distribute mail to residents and department heads.
Perform a variety of secretarial duties for the Executive Director, including screening
calls, taking messages, and composing routine and non-routine correspondence.
Manage office and housekeeping supply orders for multiple departments.
Attend and actively participate in facility meetings and in-service training sessions.
Maintain a professional appearance and demeanor, with a commitment to excellent
customer service.
Must enjoy working with the elderly and be receptive to constructive feedback.
HUMAN RESOURCES RESPONSIBILITIES :
Assist with job applicant processing and new hire paperwork; may also screen applicants
on behalf of hiring managers.
Serve as the worker’s compensation coordinator, ensuring compliance with OSHA
reporting requirements.
Maintain strict confidentiality regarding resident, staff, and company information.
ACCOUNTING FUNCTIONS :
Maintain a complete and organized set of financial records for business transactions
within the community.
Oversee accounts payable (AP) and accounts receivable (AR) functions.
Process cash receipts and record transactions into the accounts receivable system.
Verify AR data, make necessary adjustments for accuracy, and post transactions to the
appropriate resident accounts.

Exhibit strong active listening skills and build positive relationships with colleagues,
residents, and visitors.
Treat others with dignity and respect while fostering a supportive work environment.
Develop and maintain cooperative relationships with interdepartmental personnel and
other community departments.
