Job Summary Reporting to the Office Manager, the Receptionist greets visitors, answers phones, and provides other administrative support to Facilities and the Boston Office. This position requires a friendly, customer-service oriented individual who is focused on providing a positive experience for all visitors, vendors, and employees. Reception hours are Monday through Thursday, 8:30am – 3:00pm, with flexibility for additional hours. Reception/Administrative Reception – general duties including welcoming visitors and answering phones. Security - add guests and new employees and order new and replacement security badges. Events - Assist with coordinating monthly birthday & company lunches, volunteer events and massages. Office Management Assist with booking desks, offices, and conference rooms. Assist with resolving general office issues & complaints (per Office Manager). Order general office supplies (coordinate with Office Manager). Process administrative invoices. Backup support for Facilities Specialist (Mail/Courier) and executives and support team in their absence. Facility Responsibilities Safety – member of Emergency Evacuation Committee. Conduct monthly AED checks to ensure both machines are working properly. Maintenance – support/address maintenance issues (furniture, temperature, restrooms). Meeting Management (internal and external) – support facility work requests re: meeting setup and break downs. Inventory – keys, furniture, kitchen snacks and beverages. Shred-It pickups – (coordination with Facilities Specialist). Human Resources New hire onboarding support - prepare & ship new employee swag. Greet and show new hires office. Member of the Special Occasions and Employee Engagement Committees. Assist with finding ways to donate/volunteer/learn about global occasions. Post flyers in the kitchen recognizing cultures and occasions. Education, Experience High school degree or equivalent required. Three to four years of receptionist experience desired. Knowledge, Skills, Abilities Excellent verbal communication skills essential Proficiency with computer applications in a PC Windows-based environment. Experience with Word, Excel, and Power Point is required. Ability to be punctual. Ability to be organized, work independently and exercise discretion. Physical Demands Work is performed in an office environment. Intermittent physical activity including bending, reaching and prolonged periods of sitting. Infrequent light physical effort required.
