As a Case Manager/Intake Specialist, you will play a critical part in managing the intake process, gathering key case details, and maintaining ongoing communication to facilitate smooth case progression. What you’ll do:
- Client Intake Management: Serve as the initial point of contact for potential clients, conducting thorough interviews to gather detailed information about their cases. Assess the viability of potential cases and provide clients with an understanding of the legal process ahead.
- Leads Follow-Up: Conduct continuous follow-ups with leads and potential clients to ensure all necessary information is obtained and to keep them engaged throughout the process.
- Information Gathering: Collect and organize all pertinent information related to clients' personal injury claims, including medical records, accident reports, and insurance details. Ensure all data is accurately entered into our case management system, SmartAdvocate.
- Client Communication: Maintain regular communication with clients to update them on case progress, answer questions, and provide support. Educate clients on medical decisions as part of the case management process, especially in cases involving surgical recommendations.
- Case Coordination: Work closely with attorneys, paralegals, and other staff to ensure seamless case progression. Identify and address any potential delays or issues that may impact case timelines.
- Insurance & Medical Records Analysis: Analyze medical records and bills to determine necessary actions, such as requesting additional records or submitting health insurance.
- Investigation Support: Assist in obtaining and reviewing collision reports, conducting background checks using tools like Westlaw People Finder, and gathering additional records as needed to support case development.
What we’re looking for:
- Experience: 2-3 years of hands-on experience in both personal injury intake and case management. Must have a proven ability to assess and qualify cases, ensuring they meet firm criteria. Strong understanding of health insurance processes, personal injury claims, and subrogation is essential.
- Client Service Skills: Exceptional customer service abilities, with a focus on empathy and effective communication.
- Problem-Solving & Task Management: Proactive in managing tasks and ensuring nothing falls through the cracks. Possesses strong problem-solving skills to anticipate and resolve obstacles, keeping cases moving forward efficiently and preventing delays
- Attention to Detail: Strong organizational skills and the ability to manage multiple cases simultaneously while maintaining accuracy.
- Technical Proficiency: Experience with case management software, preferably SmartAdvocate, and proficiency in using investigative tools and conducting background checks.
- Team Collaboration: Ability to work effectively within a team, coordinating with attorneys, paralegals, and administrative staff to ensure client needs are met.
