We are looking for a detail-oriented Administrative Coordinator to support our team with administrative and marketing-related tasks. This role is part-time with the potential to transition into a full-time position with benefits as the company continues to expand.
Job Responsibilities
Administrative Support
- Answer and direct phone calls to the appropriate technician or team member
- Manage and organize electronic and paper files
- Maintain schedules, coordinate meetings, and assist with calendar management
- Provide administrative support to the President and team
Marketing & Client Outreach
- Research, clean, and validate new marketing prospects in the CRM system
- Conduct online research to identify new companies and contacts
- Assist in coordinating direct mail campaigns, drip marketing, and social media efforts
- Track and report on marketing campaign performance
- Utilize Mail Merge in Microsoft Word to create personalized marketing communications
Customer & Vendor Coordination
- Assist with client communications and follow-ups
- Maintain vendor contacts and assist with service coordination
Qualifications & Skills
✅ Previous experience in an administrative or office support role
✅ Strong organizational and multitasking abilities
✅ Excellent written and verbal communication skills
✅ Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and CRM software
✅ Ability to research companies and contacts online
✅ Experience using Mail Merge in Microsoft Word for marketing communications
✅ Experience with marketing tools, social media management, or campaign coordination is a plus
✅ Ability to work independently while maintaining confidentiality
