Are you our next great Sales Administrative Assistant?
Our Sales Administrative Assistant provides administrative support to management, supervisory, and/or staff members of the organization and to the Sales Department by performing clerical and routine tasks such as contract preparation, department reporting, database input, scheduling appointments and meetings, filing and providing information.
Highlights of what our Sales Administrative Assistant will do:
Sales:
- Job starts.
- Track sales team projections and sales.
- Job starts including transfer budgets into job costs, print plans and assembling job folders for field.
- Coordinate pre-job meetings. Facilitate meeting and take notes for distribution.
- Reconcile monthly new opportunities in LSJMS with Estimating department's Output report.
- Pull monthly reports for senior management.
- Assist Sales Manager with all PowerPoint presentations, memos, agenda, notes, etc.
- Manage schedule for sales team with all upcoming events. Purchase tickets for evens as required.
- Handle all items necessary for networking events such as giveaways, decorations, costumes, etc.
- Make travel arrangements for the Sales and Estimating departments.
- Maintain client Christmas list and order client gifts as appropriate.
- Assists with special projects as required.
General Administrative:
- Support Operations Manager, Chief Estimator, Controller, and Branch Manager as needed.
- Process new hire requests (business cards, nameplates, supplies, etc.)
- Assist in planning office events (potlucks, BBQ's, etc.)
Are you the right fit for this role?
Skills & experience that are necessary as a Sales Administrative Assistant will include, but not limited to:
- High school diploma or GED; or one to 3 years related experience and/or training; or equivalent combination of education and experience.
- Must possess strong organizational and time management skills with the ability to prioritize multiple tasks and projects.
- Demonstrates accuracy and thoroughness; and monitors own work to ensure quality.
- Excellent verbal and written communications skills.
- Proficient in Microsoft Office (Outlook, Excel, Word, PowerPoint)
