Job description
GovGig is hiring a Contract administrator & Executive assistant join Sabelhaus West Inc. (SWI) to support our state-wide operations. The position requires adaptive organizational skills to be both organized and flexible to work in the construction industry.
SWI is a construction contractor that specializes in surface prep and application of coatings (paint) in commercial, industrial, and residential settings. Projects are typically located on military/federal facilities, public facilities, and high-end residential projects. Commercial work includes: campus facilities, schools, hotels, high rises, hospitals, office facilities. Industrial work includes: shipyards, bridges, tank farms, factory maintenance painting, dams, and various infrastructure. Our residential work typically includes waterfront homes or property values more than one million dollars.
This position will be important for preparing and reviewing contracts. Approximately 60 to 70% of our contracts are in the public sector. We often work under general contractors but also work directly for the client and subcontract work out. This position will be integral in working with project managers, estimators, accounting, and field operations.
In addition, we need this role to serve as an executive assistant to the President with managing the office schedule and execute professional correspondence. Integrate with the other office functions that are crucial for business development and pre-qualifications
Contract Management
· Complete and maintain pre-qualifications
· Review, understand, and analyze contracts; provide rebuttals and ask for clarification as needed.
· Work with Project Managers and Estimators
· Setup subcontracts with the project managers
· Knowledge insurance, bonding, and prevailing wages
· Set up awarded contracts as projects in company drive and PROCORE
Executive Assistant
· Professionally manage confidential matters with discretion
· Keep administrative tasks organized and ensure follow-through
· Assist and execute professional correspondence using MS word and Outlook
Office Support
· Update and maintain our MS Outlook scheduling; prioritize and deconflict events
· Help Perform background checks to support our jobsite badging requirements
· Assist in business development with research and navigating opportunities with various procurement systems (SAM.gov and Washington State) for bid opportunities
Field Support
· Coordinate lodging and ferries for construction crews
· Coordinate badging for crews
Education/Experience/Credentials
· HS Diploma or GED; an associate’s degree a plus
· At least three to five years’ documented experience in contracting
· Not required but helpful: CCMA, CFCMA, CCCM
Administrative Requirements
· Have reliable transportation to make it to work on time.
· Show proof of citizenship or authorization to work in the U.S.
· Pass a background check (typically 10 years back) to work with our clients.
Work Hours, Job Setting, and Uniform requirements
· Flexible but company hours of operation are typically from 6am to 3:30pm, MON through FRI

Pay: $60,000.00 - $85,000.00 per year
