Description

The Application Coordinator Epic Contract Management is responsible for the loading, maintenance, and troubleshooting of all payor contracts for Riverside Healthcare's various lines of business, including Hospital, Medical Group, and Home Health. This role ensures the timely and accurate posting of contractual adjustments, manages contract build deficiencies, and updates outstanding items weekly. The coordinator collaborates with the Managed Care office for contract interpretation and holds primary responsibility for the design, build, testing, validation, and ongoing support of the Epic contract management applications. The position requires deep knowledge of software functionality and the revenue cycle workflows to be implemented in Epic.

Essential Duties

  • Load all payor contracts for all business lines, including managed care and government contracts.
  • Troubleshoot and resolve variance discrepancies in contract management.
  • Ensure timely and accurate posting of contractual adjustments, and maintain weekly updates on outstanding items and build deficiencies.
  • Collaborate with the Managed Care Manager to interpret contracts and clarify terms.
  • Design, build, validate, and support the Epic contract management application according to Riverside Healthcare's revenue cycle workflows.
  • Participate in application design, validation, and advanced design sessions to ensure accurate system configuration.
  • Populate master tables and system files, ensuring adherence to naming conventions, numbering standards, and security classifications.
  • Perform structured testing of applications and document testing results thoroughly.
  • Track, update, and resolve system issues effectively.
  • Collaborate with Principal Trainers to design and develop role-based training programs to support new workflows.
  • Troubleshoot system problems reported by team members and end-users.
  • Review and test new system builds and releases before implementing them in the production environment.
  • Identify and propose system enhancements and improvements.
  • Provide system demonstrations and training as needed.

Non-essential Duties

  • Assist with other system-related projects or account review as needed.
  • Participate in cross-functional team initiatives to enhance system performance.

Requirements

Preferred Experience

  • Minimum of 3 years of experience working with Epic systems, specifically in Contract management or similar roles.
  • Experience with contracts, billing processes, and regulatory compliance within a healthcare setting.
  • Strong analytical and problem-solving skills with the ability to manage multiple tasks and priorities effectively.
  • Excellent communication and interpersonal skills, with the ability to work collaboratively across departments.
  • Proficiency in Epic applications, Microsoft Office Suite, and other relevant software tools.
  • Knowledge of APC, CPT, HCPC, ICD modifier and Rev Code preferred.
  • Knowledge of healthcare coding standards, billing regulations, and revenue cycle management.
  • Experience with contracts, billing processes, and regulatory compliance within a healthcare setting.

Required Licensure/Education

  • High school diploma or equivalent required.
  • Epic certification in Contract Management or related module(s) required within 6 months and maintain thereafter.

Preferred Education

  • Bachelor’s degree in Health Information Management, Healthcare Administration, Computer Science, or a related field preferred.
  • Minimum of 3 years of experience working with Epic systems, specifically in Contract management or similar roles.

  • Speech: Required to communicate with patient/families/staff/doctors, coworkers, ancillary personnel and other department heads. Ability to ask for help.
  • Vision: Required to perform necessary assessments of patient status, medication administration, CIS usage, and reading active orders and lab reports.
  • Smell: Helpful to note presence of incontinence, vomitus, blood; electrical/fire safety.
  • Hearing: Necessary to hear alarms, calls for help and to hear patient verbalizations. Necessary to hear lung, bowel and heart sounds. Needed to hear alarms (i.e., fire, codes via PA system).
  • Touch: Necessary to perform percussive assessments and to comfort patients. Also needed to manipulate tools and equipment.

Describe and explain the lifting and carrying requirements. (Example: the distance material is carried; how high material is lifted, etc.): Lifting patients off their beds that are unable to move independently is done with assistive lifting equipment. Horizontal movement of patients to and from carts/beds who are unable to move independently is done with assistive lifting equipment. Lifting equipment - carry 25'- 150' waist high (IV bags, patient trays, charts). Filled laundry bags are filled half full so as not to weigh over 35#. Carry fire extinguishers up/down 3-4 flights of stairs and several yards in emergency.

Leg Strength - up to 50#: Occasionally- (repetitive use of foot or feet in operating machine control: utilized in positioning beds during transport; x-ray, surgery or in an emergency situation from floor to floor, locking beds or cardiac chairs.)
