What are the responsibilities and job description for the Purchasing Clerk position at Grace Medical?
1. Job purpose
The purchasing clerk is responsible for ensuring that supplies, materials, and equipment’s are ordered and received in a timely and efficient manner. Perform various tasks related to ordering and services in support of producing and distributing company products. Assist purchasing manager/ department with purchases and control inventory to support manufacturing operations. Assist with supplier qualification with the instruction of the purchasing manager.
2. Duties and responsibilities
Issues and reviews purchase requisitions according to master schedule, and expedites delivery as required. Ensures financial authorization, if required is obtained before placing orders.
- Assist with the research and evaluate suppliers based on pricing, quality, service, support, availability, and reliability and the supplier’s reputation and history. Based on the product or service, ensures that the supplier’s qualifications meet the companies requirements, ie. ISO, FDA, etc.
- Assist negotiate best price for products/services. Request bids from new suppliers as needed. .
- Ensures suppliers acknowledgement of purchase orders are consistent with required delivery dates and quantities and maintains the MRP system on a timely basis. Undertake daily tasks associated with buying and selling supplies.
- Serves as a cross-functional team member representing the supply base. Takes action necessary to support quoting, production, cost savings initiatives from vendors/suppliers.
- Assist with maintaining approved supplier listing.
- Maintains active and inactive supplier files to ensure that they comply with U.S. Food and Drug Administration (FDA) regulations such as 21 CFR part 820, EN/ISO regulations, MDSAP, Medical Device Directive, EU Medical Device Reporting and company policies, and processes.
- Ensures orders are placed according to company specifications. Works with Quality to ensure that product or materials purchased have required traceability, certifications, etc.
- Performs all other duties as assigned.
3. Qualifications
- Associates degree required.
- Minimum three to five years purchasing experience with manufacturing company required, medical device preferred. Working knowledge of Excel and Word. Working knowledge of ERP system.
- Must be organized, detail oriented and possess excellent communication skills to work with both venders and internal staff.
4. Working conditions
· Knowledge - Good computer and professional telephone skills and the ability to operate all required office equipment. Organizational, analytical and problem-solving skills are necessary. Must be able to speak English and possess expert level written and verbal communication skills.
· Mental – Requires a relatively high degree of concentration and attention to detail and superior organization is a must. Proactive and able to work independently with excellent time management skills. Flexible attitude with ability to work under pressure and meet project deadlines. Commitment to quality approach to work in a team environment.
5. Physical requirements
· Physical – Requires walking/standing approximately 5% of time; sitting approximately 95% of time; lifting up to 25 lbs. approximately 15% of time; stooping, forwarding bending and crouching approximately 5% of time. Sometimes requires standing eight hours a day at meetings and conventions. Must be able to travel.
· Environmental – Requires capability of performing essential job functions in an office environment with climate-control and good lighting
· Manual Dexterity – Requires use of hands and arms to operate telephones, facsimile machines, computers and other general office equipment, to record written information and maintain files.
· Audible – Requires the ability to verbally communicate with customers, distributors, vendors, suppliers, FDA/ISO/MDSAP auditors, and co-workers in person and via telephone.
