POSITION DESCRIPTION: Administrator

JOB RESPONSIBILITIES:
Reporting to the Head of School, and in cooperation with other staff, the Administrative Assistant is responsible for:
- Exhibit a positive, warm, helpful and welcoming attitude to anyone who interacts with the school.
- Demonstrate the ability to relate joyfully to children.
- Exhibit emotional maturity and stability.
- Follow all school policies and procedures.
- Maintaining the office in an orderly and efficient manner in terms of documents, records, and positive customer service and to maintain confidentiality of all communications.
- Maintaining a clean office and foyer area.
- Answering the phone, handling inquiries and distributing messages.
- Opening and logging mail, checks and other items.
- Scheduling appointments for HoS and Business Manager.
- Communicate with teachers regarding open houses, tours, child visits, parent visits, and the teacher’s roles in assisting with these.
- Checking email and maintaining email mailing lists.
- Completion of school correspondence.
- Order and coordinate the distribution of all supplies.
- Maintaining the inventory of office and housekeeping supplies.
- Coordinating school events and functions, and communicating with families in a warm and professional manner.
- Coordinate and manage volunteer participation – tracking and communicating hours. Assist with PGM organization and support President as needed.
- Facilitating the Scholastic program, processing orders and organizing books that we receive.
- Assisting with recess duty, pick-up and drop-off and extended hours, as needed.
- Supporting all staff in copying, laminating, and organizing tasks as requested.
- Track student attendance.
- Manage Parents Web for PT conference scheduling and school updates.
- Other duties as requested by the Head of School or Business Manager.
- Maintain and administer student medications, medical records and immunizations.
- Coordinate with various vendors regarding building maintenance.
- Manage student records
- Order Milk
- Manage the Van with support from the HoS.
- Manage recess Schedule for volunteers.
- Coordinate field trips with the Business Manager.
- Manage snack schedule sign up sheets and support teachers.
- Organize August Work Day and Support HoS.
- Manage the Electronic Sign Board.
SKILLS AND EXPERIENCE:
1. Strong technical skills included Microsoft Office, Google Chrome and general PC use.
2. Strong organizational skills.
3. Practical understanding of professional standards of ethics, confidentiality and conflict resolution.
4. Ability to communicate warmly and effectively with children, families and colleagues.
Job Type: Full-time
Pay: $16.00 - $18.00 per hour
Expected hours: 40 – 45 per week
