The Program Director at Gracie Barra Castle Rock plays a critical role in managing, organizing, and promoting the school’s programs and activities. The ideal candidate will work closely with the owner, students, and parents to ensure seamless operations, enhance the student experience, and build the school’s community presence. This role is essential for supporting the growth and success of the school through program coordination, lead management, event planning, and community outreach.

Key Responsibilities:
Lead Management
- Manage incoming leads from the website (no cold calling)
- Follow up with prospects, schedule appointments, provide program/membership info
Instructor Certification Program (ICP) Management
- Track staff certifications and confirm completions
- Print/display certificates and serve as the certification point of contact
Marketing and Promotions
- Plan and execute promotions to attract/retain students
- Develop marketing strategies aligned with school goals and brand
Event Planning
- Coordinate quarterly events (belt promotions, Parents Night Out, specialty classes)
- Collaborate with staff for smooth execution and great participant experience
Current Student Management
- Oversee payments, renewals, account freezes, and check on absentees
- Maintain accurate records and resolve issues
Inventory and Supplies
- Conduct inventory checks and manage special orders
- Ensure availability of supplies for classes and events
Community Engagement
- Represent the school at local events (approximately 1 per quarter)
- Build relationships and increase community presence
Facility Management
- Create and manage a cleaning schedule
- Assess maintenance needs and coordinate solutions
Student and Parent Relations
- Serve as a main contact for students and parents
- Address questions, concerns, and foster community
Digital Content and Communication
- Update in-school displays and website with current info
- Manage social media (YouTube, Facebook, Instagram, X) and Google Business Profile
Meetings and Collaboration
- Attend weekly Program Director meetings to share updates and improvements
Work Hours:
20-30 hours. Flexible schedule but weeknight availability is a must. Ability to work special events on occasion.
