Log Yard Administrative Assistant
Job Summary:
Responsibilities primarily include maintaining bookkeeping and administrative records; assist in the service of vendor inquiries, handle incoming and outgoing mail, and perform general office assistance as appropriate and needed. Specific services provided can vary and are dependent upon the needs of the location.
Essential Job Duties:
- Receive, match, verify and process accounts payable for proper entry.
- May assist with payment collection and proper posting and forwarding of vendor accounts receivables.
- Assist Log Buyer(s) as needed.
- Handle vendor requests and questions.
- Insure proper filing of invoices and administrative paperwork on a daily basis.
- Track invoices and payments that may be missing from files or misapplied to vendor accounts.
- Set up new accounts, verifying client data and proper billing information, including tax information.
- Manage general services, including purchasing of office supplies, mail distribution, office equipment maintenance and repair, facility related issues
- Implement and maintain general office systems, procedures, and methods in regard to record retention, administration of payments, and reconciliation
- Provide data and information reporting to necessary personnel.
- Work collaboratively with accounting, purchasing and Human Resource departments.
- Assumes other duties as assigned.
Skills & Qualifications
- Must be computer literate including but not limited to; Outlook, Excel, Word and Google.
- Knowledge of QuickBooks preferred but not required.
- Excellent leadership skills with a good employment history of training, decision making, and efficiency.
- Ability to perform tasks consistently and accurately.
- Must have strong math and problem solving skills.
- Must be organized, detail oriented, energetic and able to multi-task
- Must have excellent communication skills.
Job Type
Full-time: Monday through Friday, 8:00AM – 4:30PM (Time can vary depending on weather and season)
