Job Summary
The Military Science Operations Assistant serves as liaison between the University and the Army ROTC Program, assists the Professor of Military Science (PMS), performs a variety of clerical duties and provides administrative support critical to the Department of Military Science/Army ROTC Program.
Job Duties & Responsibilities
Coordinate activities of the Military Science/Army ROTC Department:
- Acts as liaison for the PMS for Army ROTC and coordinates special tasks, assists with preparation of special reports, strategic plans and assessment documents requested by the Provost and assessment officers for all universities.
- Relieves administrator of all minor administrative matters and serves as confidential secretary.
- Maintain frequent contact with public and private officials and professionals.
- Coordinates itineraries and functions for the PMS, and takes care of all correspondences.
- Represents the PMS at meetings, workshops, and/or functions, when needed.
- Analyze and prepare detailed reports, including recommendations for revising procedures and improving operations.
- Organize appointment calendar for PMS.
- Screen visitors and telephone calls by answering or referring out routine inquiries about Army ROTC.
- Act as administrative liaison between administrator and staff.
- Monitors university budget and advises administrative for budget status.
- Coordinates and prepares programs/invitations and mails out same for Military Balls, Commissioning Ceremonies, Awards Day, Center of Influence Symposium (COI), and Veterans Day Programs.
- Prepares correspondence relative to administrative matters.
- Composes correspondence not requiring attention of the administrator.
- Takes minutes of briefing meetings when requested by PMS
- Attends weekly Cadre and Staff Commander’s Update Brief (CUB)
- Maintains security of files and central records and provides printing/duplication services.
- Prepares memorandums for the administrator informing staff of administrative decision and matters of policy.
- Edits correspondence and reports for administrator’s review.
- Requests university transcripts, room and board, class enrollment for Cadets.
- Facilitates class enrollment for MS III and MS IV Cadets.
- Facilitates overrides for Cadets when needed.
- Submits travel requests and expense reports.
- Supervises Student Workers.
- Submits work orders to GSU Facilities Department.
- Updates Army ROTC Staff on special university events such as convocations and mandatory faculty events.
- Validates CRNs for Military Science courses and submits to the Registrar’s Office.
- Submit names of commissioning Cadets to the Registrar’s Office prior to commissioning/ graduation.
- Sorts and routes mail to PMS, SMSI, APMSs, and contracted Cadets
- Assist with recruitment of quality Cadets into the Army ROTC program
- Submit Army ROTC cadre and cadet numbers for Bayou Classic to the Athletic Department
- Update faculty and staff additional duty appointment orders book.
- Update Tiger Battalion Policy letters when needed.
- Additional duties as assigned.
Qualifications
- A Bachelor’s degree preferred.
- The desired candidate should possess a minimum of three years’ administrative work experience; experience in a college or university setting preferred.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, SharePoint, Teams, etc.) and experience with Banner preferred.
- Must be a student-centered professional, team player, and work effectively with faculty/staff and external partners.
