The COE Administrative Assistant is an experienced assistant with thorough knowledge of standard business and office processes and procedures who works under general direction exercising independent judgment with regard to managing the office and affairs of the Department Head. Provides high-level administrative support to the Department Head and other management staff.

Schedule : Mon-Fri, 8am to 4 : 30pm

What You Will Do :
- Oversee key projects and processes for the College of Education, providing top-notch administrative support to department staff while managing complex and ever-changing calendars.
- Craft professional reports, presentations, and documents, often integrating data from multiple sources to create comprehensive summaries.
- Conduct research to fulfill reporting requirements requested by senior leadership.
- Assist in budget preparation, monitor financial activity, and troubleshoot any discrepancies.
- Coordinate schedules across university offices, faculty, students, and external partners, handling logistics for meetings, travel, venues, and technology needs.
- Keep staff informed with timely updates on events, schedules, and important department communications.
- Manage office supply inventory, ensuring everything is stocked and within budget.
- Process and track essential paperwork and electronic forms to maintain smooth operations.
- Navigate university procedures for purchasing, human resources, payroll, accounts payable / receivable, and public safety while assisting with planning and executing special events, conferences, and meetings. This may include vendor coordination, marketing materials, budgeting, and scheduling.
- Elevate the College of Education’s online presence by curating engaging social media content in collaboration with the marketing team.
- Maintain and troubleshoot office equipment, ensuring seamless functionality for faculty and staff.
- Handle financial transactions such as receipts, invoices, and expense reports, reconciling discrepancies and ensuring timely payments.
- Take on additional responsibilities as needed to support the department’s success.
