Job Overview
We are seeking a dedicated and detail-oriented Property Manager to oversee the daily operations of our small 16 unit residential property. The building is a Historically Designated structure in the heart of Miami Shores, FL. The ideal candidate will possess strong customer service skills and a comprehensive understanding of property management practices. This role requires effective communication, organizational abilities, and a proactive approach to problem-solving.
Financial Duties
- Generate checks to pay authorized association bills and record in QuickBooks.
- Assist legal counsel with delinquent collections; provide necessary documentation
- Collect assessments and other fees:
- Send out monthly invoices via QuickBooks by email to the owners on the 20th of each month. Invoice a $25.00 late fee for any past due balances.
- Collect special assessments, if applicable.
- Deposit all income in association accounts.
- Cut check for the Reserve Account & make deposit monthly.
- Reconcile both bank accounts in QuickBooks.
- Send Accountant monthly QuickBooks work via email & uploaded changes/adjustments received from Accountant in QuickBooks.
- Send Board monthly financials from Accountant.
- Send Accountant 1099 information for sub-contractors who received $600.00 or more for work performed within the year.
- Follow up with Accountant that the year-end financials and tax return are prepared.
- Assist the Board of Directors in preparation of a fiscal year operating budget.
Administrative Duties
- Process background screenings for new tenants.
- Scan and email application to Atlantic. Email results to Board for review and decision.
- Prepare approval letter for unit sales.
- Serve as liaison between Realtor, Title Company and Board regarding status/questions on unit sales.
- Complete estoppel form and send to the Board for signature.
- Send notification to owners for “first right of refusal” for unit sales when a contract is in place.
- Send out “Welcome Letter” for new owner/tenant.
- Send out “New Resident Contact Information Sheet”
- Prepare notices of work being done on building, etc. for posting by building service person.
- Send out “Hurricane Season” reminder notice.
- Provide follow-up contact to delinquent payees and keep the Board posted via monthly update email.
- Send the Board monthly updates regarding account balances, important administrative matters, past due owners, etc. via email.
- Respond to owners questions regarding payments/maintenance amounts and payment history.
- Solicit proposals for reserve plan and major repairs.
- Contact accountant with any questions from Board.
- Update phone lists as needed and email to Board.
- Maintain all Association files up to date and file paid bills accordingly.
