Support all regular duties associated with data entry and administrative support for the Workforce Innovation and Opportunity Act (WIOA) Adult Education program. This position is responsible for monitoring data to ensure accuracy and benchmarks are being met in a timely manner while any discrepancies will be reported to the Director. Aspects such as data collection, reporting, capturing requirements for post testing, and follow-up is necessary for program success.

ESSENTIAL FUNCTIONS
- Provide secretarial and administrative support for WIOA Adult Education program
- Compile, sort, and verify accuracy of data before it is entered into Michigan Adult Education Reporting System (MAERS)
- Maintain monthly activity logs and compile quarterly reports
- Monitor data in TopsPRO, CASAS, and SARS
- Verify data entered into systems by checking reports for errors and correct as necessary
- Complete quarterly participant follow-up per state guidelines
- Compile and aggregate instruction hours by participant and record in participant files
- File completed documents and participants files in appropriate locations
- Coordinate and collect data from Adult Learning Plans and Academic and Career Assessments
- Update participant records and electronic files, process data, locate missing information, and update participants files as necessary
- Enter complete student data into MAERS and PeopleSoft Campus Wide Information System (CWIS) per state and college guidelines
- Support grant and report writing by providing data entry and analysis of the data
- Willing to obtain MEARS (Michigan Adult Education Reporting System) training as required
- Assist with external audits
- Hire, train and supervise student assistants
- Collect and deposit cash for the College as needed
- Reserve classroom and meeting space in 25Live System as requested for meetings
- Provide logistical support for events
- Create a welcoming environment for all customers (phone and walk-in), students, staff, business and/or college representatives
- Assist with the technology loaner program for Adult Education students, checking in/out materials and technology to students for use at home
- Attend bi-weekly staff meetings
- Monitor and report database malfunctions to appropriate personnel
- Administer academic, learning, and career assessments in absence of staff and instructors.
- Special projects as needed
- Provides backup for assisting with recording time sheet information for state reporting per grant requirements
- Regular attendance during normal scheduled hours is required. Being present is essential for serving customers and performing the essential functions of this position.

JOB SPECIFICATIONS
Educational Credentials
- Associates Degree or comparable combination of relevant education and experience required
Work Experience
- Minimum of two (2) years of professional experience in data collection, entry, and analysis required
- Minimum of two (2) years of professional experience in administrative assistance, secretarial, or customer service related field required
- Bilingual (Spanish/English) preferred
- Experience and/or interest in working with diverse student/learner populations that represent a wide range of age, ethnicity, national origin, ability, and socio-economic backgrounds required
- Experience with Michigan Adult Education Reporting System preferred
- Experience with PeopleSoft Campus Wide Information System preferred
Skills
- Ability to maintain highly confidential information
- Proficiency in office related software including Microsoft Office (Word, Excel, PowerPoint, Publisher), Google Workspace (GMail, Google Docs, Google Sheets, Google Calendar, Google Meet), Zoom Meetings, etc.
- Excellent verbal and written communication skills and strong interpersonal communication skills
- Possess excellent proofreading skills and have aptitude for detail work including recordkeeping and filing
- Exceptional organizational and problem-solving abilities
