Position Overview:
As an Export Order Coordinator, you will play a crucial role in ensuring the smooth and efficient processing of international customer orders. You will be responsible for managing orders from receipt to fulfillment, working closely with various departments to coordinate order processing and delivery. This role requires excellent communication skills, attention to detail, and the ability to thrive in a fast-paced environment.
Key Responsibilities:
- Order Processing & Fulfillment:
- Manage the end-to-end export order process, including order entry, quoting, confirmation, and invoicing.
- Ensure accuracy of customer information, product details, and shipping instructions.
- Coordinate with logistics, warehouse, and shipping teams to ensure timely and accurate deliveries.
- Prepare and verify export documentation (e.g., commercial invoices, packing lists, certificates of origin,).
- Ensure compliance with international trade regulations and Incoterms.
- Customer & Sales Support:
- Act as a point of contact for international customers, providing timely updates on order status and shipping details.
- Handle customer inquiries, resolve issues, and provide post-sales support.
- Collaborate with the sales team to identify upselling or cross-selling opportunities.
- Assist in preparing quotes, proposals, and sales contracts.
- Inside Sales Activities:
- Support sales initiatives by following up on leads and maintaining customer relationships.
- Communicate with clients to understand their needs and recommend suitable products.
- Assist in tracking and reporting sales performance metrics.
- Documentation & Record-Keeping:
- Maintain accurate and up-to-date records of customer interactions, orders, and shipments.
- Ensure all export documentation is properly filed and compliant with company policies.
- Assist with generating sales reports and performance analyses.
Qualifications:
- Bachelor's degree or equivalent experience in Business, International Trade, Sales, or related field.
- Years of experience in export operations, order processing, or inside sales.
- Knowledge of export documentation, Incoterms, and trade compliance regulations.
- Strong attention to detail and organizational skills.
- Proficiency in CRM and ERP systems.
- Excellent written and verbal communication skills.
- Ability to multitask and prioritize in a fast-paced environment.
Preferred Skills:
- Experience working with international customers and shipping processes.
- Familiarity with freight forwarding, customs, and shipping regulations.
- Multilingual abilities are a plus.
- Proficiency in Microsoft Office Suite and export management software.
