Responsibilities
The Lead Release of Information Representative is responsible for the supervision of the front office staff and workflow. They are responsible for processing the release of information requests including patient walk-in requests, telephone requests, continuation of care requests, mail requests, search warrants, subpoenas and in house provider requests in a timely manner. They are to work closely with the Release of Information vendor to ensure requests are processed in a timely manner. They are responsible for patient portal enrollment and related calls regarding the patient portal. They are the administrator to the Death and Birth Registry. As Lead Release of Information Representative, they will also assist in the education and training and evaluation process of other staff.
Essential Functions :
- Processes requests by mail, telephone, fax, email and / or from walk-ins for the release of information from the medical record for use by insurance companies, third party payers, lawyers, physicians and government agencies.
- Works in conjunction with the Release of Information vendor to ensure timely processing of all medical record requests.
- Interacts with Copy Service Representative to provide direction and continuity of workflow.
- Checks each request for properly executed authorization, signed by patient; goes to nursing units to obtain inpatient authorization as needed in accordance with regulations governing the release of information and following the Grand View Hospital policy for release of information.
- Exercises judgment against disclosure of confidential information to unauthorized users.
- Follows specified procedures for copying specified portions of medical records; compares signatures and call requestor with any discrepancies or clarifying questions.
- Maintains working knowledge of HIPAA regulatory guidelines regarding release of the information and consult with HIPAA Compliance Officer.
- Has a working knowledge of the electronic medical record (EMR) systems.
- Safeguards patient confidentiality at all times in accordance with hospital policy.
- Processes discharges to predetermined procedure in order to provide coverage for responding to patient care chart requests.
Qualifications
Education and Experience :
High School Diploma / GED and over 3 year to 5 years Release of Information and / or HIPAA experience required.
Licenses and Certifications :
HIPAA Privacy Certification, within 6 months of hire, preferred.
AHIMA Micro Credential Release of Information, within 6 months of hire, preferred.
