The Admissions Operations Specialist plays a vital role in supporting prospective students through the application and admissions process. By ensuring data integrity, accuracy, and collaboration with admission counselors to ensure a seamless experience for prospective students.
Essential Functions Of Job
- Review applications to ensure accurate and efficient processing.
- Manage the intake of application-related documents across multiple platforms (e.g. in person, mail, email, upload). These items include transcripts, test scores, and additional supplemental items to complete the application process.
- Process completed files for acceptance or denial, including undergraduate, graduate, readmits, and transfers.
- Process prospects requesting to defer their start term or withdrawn application.
- Order and maintain inventory of print pieces for communication plans and prospect correspondence.
- Prioritize daily tasks including data entry of inquiries into Slate.
- Maintain high standards of data integrity.
- Ensure coordinated and effective operations through exchange of information and feedback across internal departments.
- Process correspondence daily by mail merge, printing letters and envelopes and work with Campus Services or outside vendors to submit files for printing and mailing.
- Process event RSVPs and participants.
- Serve as back up to the main Admissions phone line.
- The position is in-office, based in Des Moines, Iowa
- Utilize various systems and technologies – Excel, database, and customer relationship management experience helpful
- Self-starter, highly motivated and able to prioritize daily tasks
- High level of accuracy, quality and speed is required
- Demonstrate excellent customer service skills to a wide range of users including colleagues, vendors, and work-study students
- Ability to work as a team as well as autonomously
- High School diploma or equivalent required
- Ability to lift 25 pounds (inventory/storeroom control)
