What are the responsibilities and job description for the Medical Clerical Assistant position at Grandville Foot and Ankle, P.C.?
We're Hiring: Administrative Assistant for a Healthcare Office
Be the reason the day runs smoothly — so patients feel cared for and the doctor can focus on what matters most.
Are you someone who loves keeping things organized, on track, and running efficiently? Do you enjoy being part of a team where your attention to detail and follow-through helps the whole office succeed?
We’re looking for a full-time Clerical Assistant to join our healthcare practice. In this role, you’ll support both the provider and the staff by handling key administrative, clerical, and front-desk responsibilities. You’ll help keep the daily workflow smooth and consistent—not on your own, but as part of a strong, collaborative team.
What You’ll Be Doing:
- Assisting with patient check-in and check-out, ensuring a smooth front-desk experience
- Answering phone calls and voicemails in a professional and timely manner
- Following up on patient questions and requests to ensure excellent communication
- Managing the main office email inbox and making sure no messages fall through the cracks
- Reviewing EOBs and patient payments to confirm accurate balances
- Helping to manage patient refunds and outstanding balances, ensuring timely and clear billing follow-up
- Supporting the team with clerical tasks, including paperwork tracking, vendor coordination, and light administrative projects
- Acting as a communication bridge between the doctor and the team, keeping things flowing
You’ll be working closely with other staff members, including clinical assistants, billing support, and front desk personnel. This is a team-based environment, and while you’ll take ownership of your responsibilities, you’ll always have support.
You’d Be a Great Fit If You:
- Are proactive and organized, with a strong attention to detail
- Communicate clearly, kindly, and professionally
- Feel confident juggling multiple priorities without getting overwhelmed
- Are comfortable moving between front-desk and behind-the-scenes support tasks
- Have experience in a medical or healthcare office setting (preferred)
This is a key role that helps keep the office running at its best. You’ll be part of a team that values clear communication, efficiency, great ideas and input, and great patient care—while making sure the doctor can stay focused on treatment, not paperwork.
