A Day in the Life of a Bid Coordinator
Manage Bid Platforms & Processes
- Serve as the go-to expert for BuildingConnected, supporting both internal teams and external trade partners with training and setup.
- Set up BuildingConnected for each bid, ensuring that all necessary details are in place for a smooth bidding process.
- Assist in the creation of bid documents, project manuals, and appendices to ensure clarity and consistency across all bids.
Support Estimating & Project Teams:
- Conduct Bid Planning Meetings with project teams and Estimators to align strategies and expectations.
- Develop project bidder lists that drive competitive results and encourage diverse business enterprise (xBE) participation.
- Ensure that trade partners who assisted with budgeting are included in final bidding opportunities.
Engage Trade Partners & Strengthen Relationships:
- Actively reach out to trade partners to increase engagement and participation throughout the bid process.
- Prepare and attend Pre-Bid Meetings, speaking to the bid process and ensuring all trade partners are well-informed.
- Coordinate bid reminders, RFI collections, and addenda releases to keep the process on track.
Ensure a Seamless Bid Opening & Award Process:
- Collect required bid documents such as bid breakdowns and organize information for review.
- Assist in bid openings and the creation of bid tabulations to ensure transparency and accuracy.
- Coordinate post-bid interviews and help facilitate award notifications when applicable.
Track Metrics & Improve the Process:
- Manage, maintain, and update bid metrics and results.
- Provide data and reporting from BuildingConnected to track invitations, submittals, and awarded bids.
- Maintain and update Estimate vs. Bid, Variance Analysis, and Bid Breakdown Matrix spreadsheets with recent bid results.
- Ensure all subcontractor certifications are current and documented.

- Ability to build relationships with subcontractors and trade partners, driving engagement and participation.
- A collaborative mindset and ability to work with Estimators, project teams, and accounting to execute bid strategies effectively.
- Comfort with technology and bid management platforms; experience with BuildingConnected is a plus!
- Strong data tracking and reporting skills to analyze bid results and drive continuous improvement.
