Granite Peaks Gastroenterology is seeking a Full-Time Medical Office Phone Operator/Clinic Assistant. We believe in compassionate care and impeccable service. The Phone Operator/Clinic Assistant is responsible for efficient coordination for incoming telephone traffic by screening calls and directing telephone traffic to the appropriate personnel. The phone operator is responsible for inbound fax distribution, patient/clinic voicemail handling, registration system message distribution, assisting with patient and physician electronic and print communications, updating EHR database, and other duties as assigned.
Phone Operator/Clinic Assistant Responsibilities Include (but are not limited to):
- Answers high volume multi-line phone system, directing the communication flow and or handling messages for physician and other clinical staff.
- Answer all calls in a pleasant, professional and helpful manner.
- Monitor on-line inbound faxes and disperse them to the appropriate location.
- Download and manage weekly recall list.
- Complete daily recall task assignments.
- Lunch coverage for front desk (Lehi location only)
- Perform other related duties as directed or assigned
Performance Requirements:
Knowledge:
- Knowledge of a multi-line phone system.
- Knowledge of clinic policies and procedures.
- Knowledge of grammar, spelling, and punctuation to communicate effectively.
- Knowledge of medical office protocols.
Skills:
- Skill in using office equipment and handling paperwork/filing adequately.
- Skill in handling incoming phone calls appropriately.
- Skill in written and verbal communication.
- Medical Office Phone Operator Experience Required.
Abilities:
- Ability to work effectively as a team member with physicians and other staff.
- Ability to sort and file materials correctly by alphabetic or numeric systems.
- Ability to flexibly respond to changing demands.
- Ability to organize and prioritize tasks effectively.
- Ability to communicate clearly and calmly with patients, employees and physicians.
