Job Title: Senior Property Manager

Reports To: General Manager

May Supervise: Customer Relations Coordinator/Property Administrator/Property Accounting Administrator/Sr. Property Accounting Administrator/Assistant Property Manager/Property Manager

 

 

Position Responsibilities:

 

Team Oversight & Leadership

 

  • Manage a property team and/or group. Responsible for identifying training needs, tracking performance, coaching, counseling, developing and motivating direct reports. 
  • Responsible for hiring, performance evaluations, and for recommending termination. Address complaints and resolves problems in conjunction with group supervisor and Human Resources.
  • Work closely with Managing Director, Portfolio Manager, Construction Project Manager, Senior Chief, Chief Engineers, and leasing representatives to implement annual asset plans with the goal to maintain investment objectives.

 

Customer Connection

 

  • Interact regularly with customers, respond to customer needs, and coordinates with maintenance staff to resolve problems. Maintains positive relationships and high retention levels with all customers.
  • Respond to customer problems and concerns and ensure compliance with rules and regulations. Coach Property Management team to ensure high levels of service and responsiveness.
  • Oversee TWC customer engagement program as it relates to assigned buildings.
  • Oversee customer move-ins and move-outs in conjunction with Property Management team.

 

Operational Accuracy

 

  • Manage asset performance against identified key performance indicators.
  • Oversee contracting for vendor services and supervise as required.
  • Work with (Owner’s) risk management on property liability issues and incident reporting.
  • Responsible for management of shared associations as applicable.

Accounting Support

 

  • Oversee preparation of annual budgets, reforecasts, asset plans, monthly accruals, monthly reporting packages, and variance reports. Understand and provides explanations for variances. Conduct complex financial/business analysis including the preparation of complex reports.
  • Supervise the planning, budgeting and control of operating and capital expenditures on both a fiscal and calendar year. Approve the calculation of all special billings. Meet deadlines and communicate actively with accounting team and senior leadership as appropriate.
  • Oversee the collection of rent (including percentage rent), payment of expenses, compliance with lease terms and preparation of all required legal notices. Hold team responsible for these functions accountable to high levels of operational excellence. Recommend and coordinate legal action as necessary.

 

 

 

Building Care

 

  • Attend pre-construction meetings and punch walks as needed; ensure Acceptance of Premises (AOP) execution.
  • Perform regular inspections of property. Recommend and direct alterations, maintenance and reconditioning of property as necessary. 
  • Possess knowledge of sustainability and ESG standards and ensure property level compliance with codes, regulations, and governmental agency directives, as applicable. Complete in-depth reporting on ESG compliance for Owner.
  • Conduct tours and meetings for Owner representatives and partners as requested.

General

 

  • Participates in civic and / or business organizations. Attends BOMA and/or IREM programs and activities. Conducts and maintains relationships with “key” customers, industry and trade associations, representatives of government, public service organizations, customers and vendors as necessary in the overall management of the property.
  • Oversees Emergency Response measures for assigned properties. Ensures all emergency preparation tasks are current. Oversees emergency response training of property team and tenant base.
  • Supports property sales and/or refinancing by overseeing due diligence process at the property level.
  • Special project participation, coordination, oversight as needs arise.

Qualifications/Requirements:

  • Bachelor's degree is preferred, high school diploma or general education degree (GED) required
  • 7 - 10 years of commercial office property management related experience, with at least 5 years of experience as a Property Manager required
  • Minimum of 3 years of leadership experience in managing people/direct reports
  • Possess in-depth knowledge of financial terms and principles
  • CPM, CCIM, or RPA professional designation preferred
  • Must have the ability to travel overnight periodically
  • Proficient in Microsoft Office including Outlook, and JD Edwards
  • Excellent customer service skills

Physical Requirements:

  • Hearing and visual ability to observe and detect and appropriately react to signs of emergency situations.
  • Ability to independently move throughout the office and property, and consistently and continuously perform essential job functions.
  • Ability to lift and/or move up to 25 pounds.

 

Travel Required:

  • One time per year, 2-3 days per trip
