Job Description: Human Resources Assistant / Administrative Assistant
Full-Time- 40 Hours per week
Supervises: None
Reports to: Human Resource Manager/Farm Director
Summary: The Human Resources Assistant is accountable for assisting in the recruiting process, gathering new hire information, collecting timekeeping information, facilitating employee reviews and exit processes.
Responsibility: Human Resources
1. Coordinate with the Directors of Agronomy, Operations, and Human Resource on what job positions need filled on a weekly basis.
2. Gather new hire documentation including: W4, I-9, direct deposit information, visa, tax forms or H2A onboarding. Build new employees in Paylocity and FieldClix.
3. Process H-2A travel reimbursement.
4. Communicate employee benefits and HR processes to new employees. Answer related questions that may arise
5. Assist managers on timecard approvals in FieldClix.
6. Communicate with directors and managers on their hours and their employees’ hours worked.
7. Understand payroll / timeclock system and train new hires how to use time clock and Paylocity.
8. Train managers on how to approve employees’ hours.
9. Answer questions from employees related to payroll topics.
10. Maintain organization including updating the organizational chart on a weekly basis.
11. Assist managers with employee write up and termination process, provide employees with exit paperwork and verify rehire status with manager.
12. Facilitate employee review process and verify employee reviews have been completed and documented.
13. Assist employees on how to use Fuel Cloud System.
14. Process workman’s compensation claims with the WC insurance company.
15. Plan events and assist with meetings and trainings sessions as needed.
16. Act as a translator in various meetings.
Responsibility: Administrative Assistant
1. Create and maintain WhatsApp groups for company communications.
2. Create and maintain a currently employee driver’s license list for liability insurance.
3. Assist with GAP audits by gathering necessary information.
4. Various data entry as required.
5. Ensure H-2A housing is ready for Annual inspection.
6. Assign H-2A employees to specific housing.
7. Make sure H-2A houses are occupant ready when workers arrive.
8. Gather and maintain weekly housing inspection reports.
9. Post H-2A housing rules.
Desired Qualification / Requirements:
1. Knowledge of labor laws.
2. A thorough understanding of the H-2A program and rules.
3. Bi-lingual, be able to read and write in both English and Spanish.
4. Self-motivated, goal-oriented individual.
5. Able to handle multiple tasks and work with multiple departments and functions.
6. Ability to work in a stressful fast paced environment.
7. Computer literacy (MS Office applications, in particular), Paylocity and FieldClix.
8. Excellent organizational skills, with an ability to prioritize important projects.
9. Strong phone, email and in-person communication skills.
10. Demonstrate a high level of confidentiality and fairness.
Work Environment:
1. Be at the office from 8am-5pm Monday thru Friday.
2. The worker needs to be able to sit for hours at a time. The duties performed require attentiveness with distractions of people walking into the office and phone calls. The team member must be able to perform assigned duties and work at a fast pace during busy season.
3. Work is primarily indoor and occasionally outdoor.
Job Type: Full-time
Pay: $18.00 - $21.00 per hour
