The Veteran’s – Office Assistant provides support to theGrant CountyVeteran's Services Program. This position will help coordinate the day-to-day workflow of the Veteran’s Office and will provide administrative and customer service support functions for the veteran’s program and its operations. This position is usually the first point of contact for those walking into the veteran’s office as well as via phone. Customer service, professionalism, confidentiality and efficiency are of the utmost importance. This position reports directly to the Veteran’s Service Officer and is expected to work 40 hours per week.

Other essential duties may be assigned consistent with the general scope of the position. Employee must comply with all County and department policies, procedures, WAC’s, or other regulatory bodies.
General Administrative Support:
- Tasks include - Greeting walk-ins; personal and telephone reception; filing; data entry; sort and distribute daily mail and preparing mailings; and monitoring, ordering and stocking inventory and office supplies.
- Perform other routine office tasks such as receives, processes and issues various forms, applications, notices, orders; reviews for such things as accuracy, completeness, required stamp and signature.
- Assisting with the Veteran Assistance Fund, ensuring veterans meet the requirements of the policy, and issuing food, clothing, and rent vouchers to coordinate stays in hotels for homeless veterans.
- Responsible for completing the initial intake of veterans.
- Will provide low level case management by following up with veterans with VA claims.
- Coordinates and schedules travel, meetings, and appointments for managers or supervisors.
- Prepares agendas for meetings scheduled and records and distributes minutes or other records for meetings.
- Directclientstoagenciesinthecommunitywhomaybeabletoprovideadditionalassistance, as needed.
- Understanding of both the RCW and VA policies to guide veterans to the best possible resource and benefits.
- Will serve as backup to the Veteran’s Service Officer (VSO) when VSO is away for training and/or in meetings. Will need to be accredited to be a VSO through the Washington State Department of Veterans Affairs (WDVA) prior to doing any backup duties.
- Perform all other tasks which maybe reasonably required of the position.

Required
- High School Diploma/GED.
- Two to three years of experience in an administrative role.
- Excellent written and verbal communication skills.
- Proficient in Microsoft Office Suite and other related software programs.
- Need to meet Washington States’ definition of a Veteran and Honorably Discharged.
- Must become an Accredited VSO Representative through the WDVA within 6 months of hire to be eligible for position.
- Valid Washington State Driver's License: Must have a safe reliable vehicle with proof of automobile insurance.
- Background Check: Must have an acceptable background report, at time of hire and every two years afterward.
Preferred
Associate’s degree in related field.
Working Conditions
The work of the position is carried out in an office environment sitting at a desk or workstation with desktop computer and standing or sitting at a public service counter. Occasional lifting of office paper supplies may be performed but is voluntary and incidental to the position’s purpose.
