Primary Purpose of Organizational Unit: The primary goal of the Granville County Department of Social Services is to enhance the quality of life of our residents through programs and services that help the vulnerable, the aged, the young, the sick and the economically disadvantaged.
Primary Purpose of Position: As a member of the Business Operations Unit, this position involves providing excellent customer service, answering phones, greeting visitors, and performing various clerical tasks in support of agency operations, often requiring cross-training in different areas. Major duties include document completion, verification, problem identification and resolution, and/or other record keeping; public contact including receiving and providing information and problem-solving; file maintenance and management; composition, calculation, and determination of an action or compliance; and office equipment operation. Work may require the use of a variety of manual or automated office systems. This position may require some commuting back and forth between DSS offices, so a valid driver’s license is required. The person in this role should have a basic knowledge of Microsoft Office Suite, strong communication skills, excellent customer service skills, and the ability to be flexible, as tasks may fluctuate with notice. Additionally, the ability to lift 10 to 50 pounds as frequent lifting may be required. This position will be cross trained with other Processing Assistants/Receptionist staff in this unit to ensure coverage assistance is available as needed. Other duties as assigned.
Work Schedule: The normal work schedule is mostly Monday through Friday 8:30am-5pm, with some after hours and weekend work on occasion due to shelter duty, projects, and other departmental needs.
KNOWLEDGES, SKILLS, & ABILITIES:
- General knowledge of office or work unit procedures, methods, and practices.
- General knowledge of and ability to use correct spelling, punctuation, and specialized vocabulary; ability to proofread.
- General knowledge of office accounting and record keeping procedures, mathematics, and their application in the work environment.
- Ability to learn and apply a variety of guidelines.
- Ability to use a variety of office equipment.
- Ability to work with people with courtesy and tact.
- Ability to screen communications based on predetermined guidelines to independently respond or route inquiries.
- Ability to record and compile information based on general guidelines.
- Ability to gather and give information and instructions regarding the work process or procedures.
- Ability to balance and reconcile figures.
- May require the ability to coordinate the work of other support staff, student workers or volunteers.
- Ability to learn to use specialized office equipment.
Required Minimum Education & Training
Graduation from high school and demonstrated possession of knowledge, skills and abilities gained through at least one (1) year of office assistant/secretarial experience; or equivalent combination of training and experience.
Must have a valid driver’s license.
