Project Manager Job Description
Hours: Monday – Friday, 8:00 a.m. – 6:00 p.m., with after hours and weekends as needed.

The Project Manager is responsible for overseeing the planning, execution, and completion of projects, ensuring they meet financial, quality, and timeline objectives. The most critical skills for this role are the ability to follow up consistently, execute assigned tasks and projects efficiently, and maintain clear communication with supervisors on project progress. Strong organizational skills are essential to track and manage multiple projects, regardless of size or priority.
Essential Functions
Project Planning & Coordination
- Ensure timely follow-up on all assigned tasks and projects.
- Maintain a structured approach to tracking and completing project work.
- Proactively update supervisors on project status and any roadblocks.
Project Planning & Coordination
- Lead project planning efforts, developing timelines and deliverables.
- Coordinate with internal teams, consultants, and stakeholders.
- Monitor project milestones to ensure alignment with business objectives.
Reporting & Communication
- Provide regular project updates to senior leadership.
- Maintain detailed project documentation, including reports, timelines, and budgets.
- Facilitate communication across teams to promote collaboration and transparency.
Budgeting & Financial Planning
- Work with finance teams to develop and manage project budgets.
- Conduct cost analyses to optimize project spending.
- Track project expenses and ensure alignment with financial goals.
Contracting & Vendor Management
- Source, evaluate, and manage contracts with vendors, consultants, and subcontractors.
- Negotiate terms to ensure cost-effective solutions without compromising quality.
- Maintain strong relationships with key partners and stakeholders.
Risk Management & Problem-Solving
- Identify potential risks and draft proactive mitigation strategies.
- Address project challenges to avoid delays or budget overruns.
- Ensure compliance with safety, quality, and operational standards.
Knowledge, Skills, and Experience:
- Bachelor’s degree or equivalent experience
- Strong follow-up skills and ability to execute tasks efficiently
- Excellent organizational skills to track multiple projects
- Clear and proactive communication with supervisors and teams
- Experience with Microsoft Office programs
- Ability to work under pressure in a fast-paced environment
- Detail-oriented with strong multitasking abilities
- Problem-solving mindset with adaptability to evolving projects
- A valid California driver’s license and auto insurance

This job mainly operates in the office with some exposure in the field environment when working on event setup and event coverage.
