Job Title: Instructional Materials and Assessment Clerk Wage/Hour Status: Non-Exempt

Primary Purpose:
The primary purpose is to organize, track, deliver, and collect instructional and assessment materials, both digital and print versions, as well as, to provide inventory and clerical services to the Director of Accountability and Continuous Improvement, District Testing Coordinator, and Instructional Materials Specialist. The purpose includes processing large shipments of instructional and assessment materials.
Qualifications:
Must possess a valid Texas Driver’s License; Must be able to lift and carry boxes up to 40 pounds
Education/Experience:
High School diploma or equivalent
Three years clerk experience in a public education environment (preferred)
Special Knowledge/Skills:
Effective organization, file maintenance, communication, and interpersonal skills
Proficiency in software applications to track inventory and develop spreadsheets, databases, and word processing such as Google Suites, Microsoft Office, Destiny-Follett
Knowledge of District organization, operations, and administrative policies
Ability to operate forklift, pallet jack, and box truck/van
Major Responsibilities and Duties:
Records, Reports, Correspondence, Management
- Prepare correspondence, forms, reports, etc. as directed
- Keep inventory of all instructional and assessment materials, textbooks, digital licenses, and related technology
- Distribute district instructional materials, textbooks, and testing materials to all campuses including technology and technology accessory items
- Assist with local, state, and national assessment scheduling
- Assist campuses with summer textbook inventory, as well as, collect out-of-adoption materials and arrange for appropriate disposal of out-adoption materials
- Receive all required documentation for all local, state, and national tests - including inventory, scanning, and maintaining records for the required time frames
- Seasonally support the District Testing coordinator in implementing all local, state, and national testing including collecting and filing documentation
- Meet campus resource needs and requests throughout the year for both digital and paper
- Enter Staff Development training and facility requests into district management system
- Answer incoming calls, take reliable messages, and route to appropriate staff
- Receive, sort, and distribute mail and other documents to appropriate staff
- Support shipping, distribution, and return of speciality instructional and assessment materials such as large print or Braille
Accounting
- Enter and delete resources in instructional materials tracking system such as Destiny-Follett
- Enter and receive purchase orders, collect invoices and packing slips, and file documentation
- Ensure internal and external timelines are met
Other
- Seasonally assist campus testing coordinators as needed
- Schedule, set up, and reset rooms used for professional development or large tasks
- Maintain confidentiality when working with parents, testing and student data
- Work closely with Warehouse personnel when receiving and distributing materials
- Participate in meetings and training sessions as designed by District staff
- Maintain regular, punctual, and consistent attendance understanding this is a year-round role
- All other duties as assigned
