Grassbaugh LLC, located in Glenmont, OH, is currently seeking a full time Construction Accounting Administrator to join our team. Grassbaugh LLC is a construction firm specializing in Public/Prevailing Wage and Commercial Construction. Position Overview:
The Construction Accounting Administrator plays a key role in managing financial transactions, maintaining accurate records, and supporting project accounting in the construction industry. This position works closely with project managers, vendors, team members to ensure timely and accurate financial reporting.

Essential Job Responsibilities:

* Manage all aspects of construction bookkeeping and accounting, including accounts payable, receivable, and payroll.

  • Ensure compliance with prevailing wage requirements, certified payroll reporting, and other regulatory obligations.
  • Utilize Foundation Accounting Software and Microsoft Office Suite (Excel, Word, Outlook) to maintain financial records and generate reports.
  • Assist in the preparation and processing of job cost reports, contracts, change orders, and lien releases.
  • Communicate with subcontractors, vendors, and project managers to maintain accurate financial records.
  • Track project expenses, budgets, and financial documentation to ensure accurate and timely reporting.
  • Maintain and organize project-related documentation, including invoices, insurance certificates, and compliance paperwork.
  • Management of office including providing administrative support to the construction team, ensuring smooth day-to-day operations.
  • Assist with organizing company events & training.
  • Completion of letter drafts & contracts.
  • Administer and track various metrics for the company.
  • Document management & retention.
  • Assist in supporting Company Safety policies & guidelines.
  • Completes all other duties as assigned.

Essential Skills, Qualifications

· Experience working in Public/Prevailing Wage and Commercial Construction.

· Familiarity with AIA billing and job costing.

· Knowledge of construction contracts and lien laws.

· Proven experience in construction administration, bookkeeping, or accounting within the construction industry. Strong understanding of basic accounting principles.

· Strong knowledge of prevailing wage requirements and certified payroll reporting.

· Proficiency in Foundation Accounting Software and Microsoft Office Suite (Excel, Word, Outlook).

· Excellent organizational skills and attention to detail.

· Ability to manage multiple projects and deadlines in a fast-paced environment.

· Strong communication skills and the ability to collaborate with various stakeholders.

· Office-based role with prolonged periods sitting at a desk and working on a computer.

· Auditory & visual skills.

· Occasional lifting of files or office supplies weighing up to 10 pounds.

Schedule & Work Environment:

  • 8 hour shift
  • Monday to Friday
