Job Summary:
Grateful Care ABA is seeking a dedicated and detail-oriented Center Director to oversee the operations, compliance, and clinical performance of one of our ABA centers. The ideal candidate will be responsible for ensuring compliance with policies and procedures, optimizing center operations, driving clinical quality and progress, and fostering a positive and professional work environment. This role involves collaboration with the CEO, Director of Clinical Services, Director of Clinical Quality, Platform Management Specialist, and Operations Managers to ensure the success and growth of the center.
Key Responsibilities:Compliance & Documentation
- Ensure that incident reports are completed, reviewed, and filed properly.
- Conduct parent orientations for all caregivers.
- Ensure monthly RBT audits are completed by the Operations Manager.
- Audit BCBA session notes (one per BCBA per week) and provide feedback.
- Monitor RBT and BCBA certification expirations in collaboration with OMs.
- Ensure RBT logs are completed and signed for all RBT staff.
- Review Functional Behavior Assessments and Behavior Support Plans for necessary addendums.
- Ensure all documentation regarding punishment procedures and physical management is completed and signed.
- Review treatment plans completed by BCBAs and assist in appeals/denials processes.
- Oversee vital documentation (e.g., ROI signatures, intake handbooks, text releases, treatment plans, liability policies, etc.).
- Ensure client privacy protection and adherence to HIPAA regulations.
Operations & Growth
- Oversee family onboarding to ensure optimal cadence and experience.
- Ensure staff are onboarded in compliance with policies and procedures.
- Conduct BCBA and RBT interviews as needed.
- Engage in outreach and networking opportunities in the local community.
- Monitor labor utilization and adjust staffing accordingly with OMs.
- Troubleshoot and resolve scheduling issues with OMs.
- Ensure BCBA adherence to billable quotas and provide necessary follow-ups.
- Monitor authorizations and utilization rates to ensure efficiency.
- Oversee conversion follow-ups and ensure new accounts are created for clients, RBTs, and BCBAs.
- Ensure inventory and building maintenance are managed appropriately.
Clinical Progress & Quality
- Audit treatment plans for clinical accuracy and effectiveness.
- Provide feedback to BCBAs regarding treatment plan quality and progress.
- Monitor goal discontinuation rates and ensure appropriate adjustments.
- Ensure BCBAs adhere to treatment plan submission processes and data updates.
- Troubleshoot complex cases with BCBAs and refer cases for peer review when necessary.
- Conduct BCBA overlaps to ensure quality services.
- Coach BCBAs on professionalism, case management, and clinical decision-making.
- Ensure staff physical management training and certifications are maintained.
Staff Performance & Development
- Monitor BCBA and RBT attendance and performance.
- Conduct weekly feedback sessions with staff who are underperforming or excelling.
- Ensure formal and informal feedback is documented and followed up on.
- Train BCBAs on effective feedback delivery and performance management.
Communication & Change Management
- Attend weekly meetings with VP and Regional Clinical Directors to discuss policy changes.
- Conduct weekly center meetings to ensure communication of key policies, action items, and accountability.
- Ensure BCBAs and OMs understand and implement company-wide changes.
- Communicate barriers and issues to upper management and propose solutions.
- Oversee scheduling adjustments and ensure clear communication with staff and caregivers.
Culture & Leadership
- Work with OMs to schedule team-building and social events.
- Maintain a positive and professional work environment.
- Address center challenges systematically and analytically.
- Foster a drama-free, solutions-focused workplace.
- Ensure staff accountability and promote a high standard of care.
Qualifications:
- Master’s degree in ABA, Psychology, Healthcare Administration, or a related field (preferred).
- BCBA certification (required).
- Experience in center management, clinical quality oversight, or operations leadership.
- Proficiency in Central Reach, Google Drive, ClickUp, and other management platforms.
- Strong analytical and organizational skills with the ability to manage multiple projects.
- Effective leadership and staff development skills.
- Excellent communication and problem-solving abilities.
