In addition to program management, the Program Manager supports the Foundation’s fundraising and donor stewardship efforts by assisting with event planning, donor communications, and campaign coordination. This position also provides administrative support to the Executive Director and Foundation Board, maintaining accurate records, processing communications, and preparing materials to support transparency and reporting.
As part of a small, dynamic team, the Program Manager must be adaptable, detail-oriented, and highly collaborative. This role requires exceptional organizational, communication, and problem-solving skills to ensure the Foundation’s programs and activities are delivered successfully and meaningfully impact the students and mission of Grays Harbor College.

ProgrammingCoordinate and oversee the operation of the Foundation’s scholarship, student support, and college support programs, ensuring collaboration with key stakeholders such as students, donors, and college departments.
- Scholarship Programs: Administer and promote various scholarship programs, ensuring adherence to program-specific guidelines and maximizing their impact on students.
- Application Management: Manage the development, distribution, and promotion of scholarship applications. Ensure clarity and accessibility for applicants.
- Promotion & Outreach: Promote scholarship opportunities to current and prospective students, parents, high school counselors, and college departments.
- Scholarship Committees: Serve as the liaison for the Scholarship Committee and Review Committee. Coordinate training, scheduling, and communications for members, including board members, college employees, and community volunteers.
- Awarding & Reporting: Administer awards to students, notify the College of award details, and report the awards to donors and recipients. Maintain accurate records of all awarding and reporting activities to support audits and donor engagement.
- Scholarship Socials & Events: Organize and manage scholarship recognition events, coordinating logistics and communication with students, donors, and volunteers.
- Student Support Programs: Administer student support programs, such as emergency and childcare support, to provide timely resources aligned with Foundation priorities.
- College Support Programs: Manage resources and activities related to specific college support initiatives funded by the Foundation. Serve as liaison to the College Support Committee, providing program updates and tracking outcomes to ensure alignment with institutional goals. Develop and maintain policies and procedures for college support programs, ensuring adherence to donor agreements and regulatory requirements.
- Memorandum of Agreements Compliance: Monitor and ensure compliance with donor agreements related to scholarships and college support, assessing and reporting on awardability criteria.
- Budget Management: Assist in developing and managing program budgets. Conduct periodic account reconciliations to ensure fund accuracy and compliance with board authorized funding.
- Policies and Procedures: Develop, implement, and maintain comprehensive policies and procedures to ensure the effective administration of scholarship, student support, and college support programs. Ensure all programming policies and procedures align with organizational goals, donor agreements, and regulatory requirements, and regularly review and update policies as needed.
Support the Executive Director in donor engagement and fundraising efforts.
- Assist in collecting data and reviewing messaging for donor reports, ensuring accuracy and relevance.
- Actively support the planning and execution of donor recognition events, including logistics, communication, and on-site coordination.
- Help plan and manage fundraising campaigns and special events, ensuring smooth execution and meaningful engagement.
- Collaborate on donor recognition and stewardship initiatives, providing program insights and preparing targeted communications.
Provide comprehensive administrative support to the Executive Director and Foundation Board.
- Process incoming and outgoing mail related to Foundation operations.
- Edit and prepare donor communications, including mailings, newsletters, and reports, in conjunction with the Executive Director.
- Prepare meeting materials, track deadlines, and manage program-related correspondence.
- Maintain accurate records of program activities, scholarship awards, and donor communications to support transparency and reporting.
- Responsibilities will adapt to align with the Foundation’s growth and evolving priorities, ensuring continued success and alignment with its mission.
- Work collaboratively with key stakeholders, including donors, students, the Manager of Finance and Operations, Executive Director, Board of Directors, and College employees, to achieve shared goals and foster organizational success.
- Undertake additional responsibilities and tasks as needed to support and advance the Foundation’s mission, programs, and strategic initiatives.

Minimum Qualifications:- Associate degree in a related field (e.g., business, human services, public administration, marketing, education, or communications) or equivalent professional experience in program management.
- At least 2 years of experience in program management, program development, or a related area, with flexibility to include experience across diverse program types, such as education, nonprofit, or community-based initiatives.
- Excellent written and verbal communication skills, with the ability to prepare clear reports, correspondence, and presentations.
- Exceptional organizational and problem-solving skills, with exceptional attention to detail and the ability to manage multiple priorities simultaneously.
- Strong interpersonal and customer service skills, with the ability to adapt to dynamic, collaborative team environments and interact appropriately with volunteers, students, and donors at all levels.
- Professional demeanor with a high level of self-motivation, accountability, and the ability to work well under pressure.
- Proficiency with office hardware (computers, phones, printers) and software, especially Microsoft Office Suite (e.g., Outlook, Word, Excel, PowerPoint, SharePoint).
- Bachelor’s degree in a related field (e.g., business, human services, public administration, marketing, education, or communications).
- Prior experience working in nonprofit sector or higher education, particularly in a foundation, financial aid, business office, or other departments requiring program management.
- Familiarity with scholarship management software (e.g., AwardSpring) and CRM systems (e.g., Bloomerang).
- Proven ability to adapt to dynamic, team-oriented environments and support organizational growth through continuous improvement.
- Experience supporting or participating in fundraising activities, including donor stewardship, event planning, or campaign coordination, particularly in an educational or nonprofit setting.
