Key Accountabilities
Provide daily financial and clerical support, making payments to vendors, suppliers, and other creditors, verifying, and reconciling invoices and managing the general ledger to ensure proper cash flow.
Responsibilities
Process high volume invoices from OCR into D365
Accurately review, code, and process vendor invoices
Coordinate and process check run, ACH and V-card regularly every week and transmit bank file for each payment method to the bank while meeting the bank cut off time
Perform monthly reconciliations
Create and maintain vendor accounts while staying in compliance with company policies and procedures including W-9s, bank letter, lease copies, SOW, and service agreements
Perform daily data entry associated with accounts payable
Research invoice and payment discrepancies as they arise. Address and respond to vendor inquiries.
Communicates effectively verbally and in writing with vendors and team members regarding invoice issues and discrepancies
Ability to maintain good vendor relations
Review statements received from vendors and follow-up on action items in a timely manner
Audit and process credit card bills
Matches receivers to inventory invoices and assures that quantity shipped and invoiced match PO request.
Matches back-up to non-inventory invoices.
Verifies non-inventory invoices for qty received and costs.
Verifies proper GL and sub-account coding and monitor appropriate approval in a timely manner while maintaining accuracy
Assist in year-end 1099 reporting
Assist with month-end and year-end close responsibilities as they pertain to A / P
Other duties as may be assigned or volunteered for.
Skills, Experience & Qualifications
High school diploma. Associate degree in Accounting preferred.
1-3 years’ experience with accounts payable or general accounting
Ability to multi-task and attention to details
Proficient Microsoft Office knowledge and skills
Strong time management and organizational skills
Knowledge of basic accounting principles
Ability to work independently and prioritize tasks
Strong analytical abilities
Able to work over-time hours as needed
