Job description
The Boca Chamber is seeking a dynamic, experienced, reliable, and highly organized Events Manager to plan and execute a wide variety of events that serve our members and community. This role requires a creative and detail-oriented professional with excellent communication and organizational skills, capable of managing multiple projects simultaneously in a fast-paced environment.
The ideal candidate will have experience managing events, building sponsorships, and creating memorable event experiences.
SALARY: $48,000-$55,000 per year (non negotiable)
FULL TIME
IN OFFICE POSITION.
Primary Responsibilities:
- Plan, coordinate, and execute all monthly Chamber events, including luncheons, breakfast events, evening networking events, meetings, and roundtables.
- Plan and execute large-scale annual events, including managing budgets, selling sponsorships, creating event programs, and designing memorable atmospheres.
- Develop and maintain all event budgets, ensuring profitability and adherence to financial goals.
- Secure venues, speakers, entertainment, and vendors; collect speaker bios, headshots, and presentation materials as needed.
- Oversee marketing efforts for events, ensuring accurate listings, communications, and promotions.
- Develop detailed event timelines and ensure on-time execution of all event components.
- Create seating charts and manage attendee and sponsor logistics for assigned events.
- Manage event production, including printed materials, brochures, signage, auction items, and other related materials.
- Serve as the primary liaison with vendors, sponsors, and donors, ensuring clear communication and excellent service.
- Execute event logistics, including set-up, tear-down, AV coordination, and on-site troubleshooting.
- Ensure accurate post-event reporting, including attendee follow-ups, sponsor reports, and financial reconciliations.
- Maintain up-to-date databases for business contacts, vendors, sponsors, and guests.
Required Skills/Qualifications:
- Minimum 3 years of event coordination or management experience.
- Strong verbal and written communication skills.
- Highly organized with the ability to manage multiple projects and deadlines simultaneously.
- Proven ability to meet budgets, build sponsorships, and foster relationships with vendors and sponsors.
- Ability to think quickly and solve problems efficiently in a high-pressure environment.
- Exceptional customer service skills with a professional demeanor at all times.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint) and ability to learn Chamber-specific software applications.
- Ability to lift and carry up to 25 pounds, stand for long periods, and work occasional evenings and weekends as required.
