What are the responsibilities and job description for the Hospitality Office Coordinator position at GREATER CINCINNATI CONVENTION & VISITORS BUREAU INC?
32 hours - Monday - Thursday - In office
Duties & Responsibilities/Essential Functions:
- Provide administrative support throughout the organization.
- Produce and distribute correspondence and mailings
- Make copies, file, and organize
- Schedule and coordinate meetings/logistics and conference calls
- Arrange air travel and hotel bookings for business travel
- Manage inventory for office supplies, breakroom, and resource room
- Greet visitors, partners, board members, etc.
- Manage calls from the main office line
- Assist with database management of supplier diversity program
- Code and record expenses and invoices for VP of HR or other Senior Leaders (as needed)
- Assist with events and projects such as but not limited to annual meetings, spirit awards, Cincinnati Music Festival, FAMS, etc. Includes: coordinating meeting logistics, correspondence with partners and clients, record keeping, and event and project follow up.
- Assist with sponsorships, bid books, as well as other assigned admin duties
- Site visit support. Includes: coordinating itinerary logistics, correspondence with partners and clients, record keeping, and site visit follow up.
- Help coordinate trade show logistics. Includes sending booth, arranging set up, sending promotional material, and arranging participant travel.
- Provide administrative support for the Visit Cincy Foundation for Hospitality Excellence and Dan Lincoln Institute for Hospitality Leadership
