Job Summary
The Special Events & Promotions Manager will oversee and support special events and promotions for GEDP, including PA Bacon Fest, Heritage Day, Easton Winter Village, Fourth Fridays, Live at the Falls, Spring into Easton, the Easton Criterium, and any other new events and promotions co-created with Executive Director and GEDP program managers.
The position includes general oversight of day-to-day operations, budgeting and expense management, staff and volunteer management, and event related promotions. The manager is also expected to monitor industry trends, identify strategic opportunities, employ risk management strategies, maintain records, and analyze and report on event profit.
Job Duties & Responsibilities
Administration
- Help prepare and oversee budgets and manage expenses for special events and promotions, and maintain accurate and complete financial records for each event
- Manage event vendors and bidding process where appropriate
- Adhere to and any grant requirements, including reporting and record keeping as required
- Manage event staff and volunteers
- Manage event related inventories
- Submit reports to the Executive Director and GEDP Board of Directors as requested
Planning / Production / Project Management
- Manage logistics, programming, concessions, vendors, sub-contractors, etc. for special events and promotions
- Coordinate with marketing and communications for special events and promotions
- Participate in and/or lead related meetings
- Assume responsibility for all or part of each assigned special event in partnership with GEDP programs and staff
- Ensure that the logistics and budget/timelines are met for each event
- Work with Executive Director and others to develop and implement plans for event sponsorships and marketing
- Support sponsorship activation at events
- Conduct a comprehensive evaluation to determine the success of each event
Other
- As job descriptions cannot possibly list all types of activities that one may encounter in a role like this, the person holding the position may be required to undertake other duties that are broadly in line with the above key responsibilities as assigned by Executive Director when necessary.
- Develop and refine volunteer job descriptions for event related volunteer positions
- Work with events committees to identify, solicit, recruit and develop volunteers, including event chairs and committee members
- Coordinate appropriate plans with volunteers for each assigned position or committee
- Respond to and follow through with inquiries, needs, complaints and/or issues in a prompt and courteous manner
- Maintain productive and collaborate relationship with City of Easton and its various departments that support events and promotions
- Ensure the confidentiality and security of proprietary information
- Develop and deliver presentations as necessary
- Perform other responsibilities and projects as assigned by Executive Director
Knowledge, Skills and Abilities Required:
- Past experience managing large festivals and events
- Proficiency with computer
- Proficiency with Wordpress content management
- Photography, videography experience a plus
- Proficiency with Microsoft Office Suite; Word, Excel, PowerPoint, Publisher, etc.
- Strong communicator, excellent oral, written and interpersonal skills; ability to communicate with all levels of the organization, sponsors, patrons, the media, members, both verbally and in writing
- Collaborative work style; ability to interact with a wide variety of people, including staff, volunteers, interns, business owners, and community members
- Ability to work in an office environment in close vicinity with other employees as well as outdoors in all types of weather during festivals and events

The employee must have the ability to sit for the majority of the workday at a workstation, at a computer.
The employee frequently is required to lift up to 10 pounds frequently, and up to 25 pounds occasionally, with or without reasonable accommodation. Employee is occasionally required to travel offsite for business meetings as needed.
Salary and Benefits:
A salary range has been established and will be discussed with qualified candidates. Salary will be commensurate with experience. Benefits include medical insurance and paid time off.
