Midwest Behavioral Health Center is seeking an energetic Project & Executive Support Specialist with strong administrative skills and is passionate for the services we provide.
Position Overview:
The Project & Executive Support Specialist is a passionate, dynamic, mission-driven, highly organized, proactive, and resourceful support to executive leadership in various administrative and strategic tasks. This person is responsible for managing multiple priorities, ensuring smooth operations, and achieving the Midwest Behavioral Health Center mission by supporting the team’s objectives of high-quality patient care, performance metrics, and administrative goals. The Project & Executive Support Specialist will also participate in fostering a positive and collaborative work environment.
Key Responsibilities:
- Critical to understand, fully believe in, and be responsible for conducting MBHC’s mission and vision.
- Oversee and manage multiple projects simultaneously while adhering to assigned timelines and ensuring deliverables are met.
- Utilized advanced Excel skills to create reports, analyze data, and develop and maintain spreadsheets for key performance metrics and financials.
- Work with the leadership team to review, create, and implement strategic initiatives to improve patient care, safety, quality assurance, compliance, and operational efficiency.
- Conduct research and gather information for special projects, as needed.
- Manage leadership calendars, appointments, travel arrangement, as assigned.
- Act as a primary point of contact for vendors and stakeholders.
- Screen and prioritize incoming communications for leaders, as assigned.
- Draft, review, and edit documents, presentations, correspondence, and reports.
- Maintain confidentiality and exercise discretion in handling sensitive information.
- Coordinate logistics of meetings, conferences, and events.
- In collaboration with MBHC leadership, manage the program budget including but not limited to: supplies, staffing, and equipment costs.
- Assist in the support of other administrative functions, as assigned.
- Promote a culture of safety and continuous improvement by participating in initiatives to improve the workplace.
Education and Experience:
- High school diploma or equivalent required; Bachelor’s degree preferred.
- Exceptional analytical and problem-solving skills, verbal and written communication skills, and organizational skills with the ability to prioritize workload and meet deadlines.
- Well-experienced in Excel, PowerPoint, and office-related digital platforms.
- Proven ability to be detail-oriented, handle multiple projects under pressure, and meet deadlines.
- Understanding of diverse cultures and gender specific issues and the ability to incorporate needs of gender and culturally diverse groups into the organization.
- Exhibits excellent customer relation skills as evidenced by supportive and constructive communication with all contacts including coworkers, patients, visitors, families, vendors, contractors, and referral sources.
