JOB TITLE: Director of Operations – Part Time
DATE: March 2025
POSITION START DATE: July 2025
REPORTS TO: Music Director/Board of Directors
SALARY: $1,500 per cycle x 6 cycles per season = $9,000
SUMMARY:
The Director of Operations oversees all logistics for the orchestra. They provide the necessary support for the execution and realization of the artistic goals set by the Music Director.
Principally, they provide oversight of the Personnel Manager, Librarian, and Stage/Production Manager, to ensure continued strict adherence to specified timelines.
JOB DUTIES AND RESPONSIBILITIES:
Personnel
· With Personnel Manager, generate a master contract for all players prior to the start of each season and populate the individual cycle personnel pages
- With Personnel Manager, generate call sheet for each rehearsal and performance cycle to be dispensed with music
· Generate contracts for the hiring of guest artists
· Organize travel and accommodation for guest artists and assist with Music Director accommodation as needed
- Make special arrangements for guest artist hospitality, as needed, during rehearsals and concerts
Oversight
· Communicate regularly with Marketing Team
o Relay all necessary information regarding programming to marketing team at the start of each season
o Alert Marketing Team of any changes in advance of each cycle
o Procure and proof program layout pages from Program Annotator in advance of each cycle, before submitting to Marketing Team
o Procure and proof program notes from Program Annotator in advance of each cycle, before submitting to Marketing Team
o Procure and proof personnel lists from Personnel Manager in advance of each cycle, before submitting to Marketing Team
o Procure and proofread Guest Artist biographies and headshots in advance of each cycle, before submitting to Marketing Team
· Communicate regularly with Personnel Manager to ensure
o All positions are filled for forthcoming cycles
o All musicians are aware of any doubling
o Any necessary subs have been hired
· Communicate regularly with Librarian to ensure
o Instrumentation has been confirmed with Music Director
o All editions have been confirmed with the Music Director
o All music has been procured (rented, borrowed, downloaded) in adherence with prescribed timelines
o All music has been delivered to the concert master for bowing in adherence with prescribed timelines
o All music has been uploaded to the drive and/or posted to players in adherence with prescribed timelines
o All music is available in hard copy onsite at rehearsals and performances
o All music is collected and collated and returned to origin point in a timely fashion
· Communicate regularly with Stage/Production Manager to ensure
o Production sheet for each cycle is appropriately populated
o Run of Show sheet is generated for each cycle for stage crew
o Staging equipment is loaded in, set up, and removed at appropriate times
o Any additional staging requirements are addressed
o Any additional lighting or sound elements are addressed
· Intermittently assist, as necessary, with creating/organizing grant application materials and communicating with Grant Committee during process
Facilities Coordination
· With Production Manager, communicate regularly with facilities manager in advance of orchestra’s residency
· With Production Manager, communicate as necessary with security during orchestra’s residency
Budget
· Assist the Music Director in generating a budget prior to each season
· Develop and monitor budgets for all production activities
· Develop and monitor budgets for any music rentals
Required Skills
