Position Summary
The Medical Records Specialist plays a vital role in managing new patient onboarding and existing patient medical records. As the first point of contact for individuals interested in becoming patients at Greater Seacoast Community Health, this role coordinates the registration process, ensures all necessary documentation is collected, and connects patients with appropriate staff, programs, and resources. Additionally, this role is responsible for maintaining patient records in the electronic medical record (EMR) system while ensuring compliance with HIPAA and other regulatory standards.
Key Responsibilities
Pay: $19.00-$24.25 commensurate with experience

Key Responsibilities
- Serve as the initial point of contact for prospective patients, managing new patient requests via phone, email, and online submissions.
- Educate patients on available clinical, financial, and social services, ensuring a smooth onboarding experience.
- Collect, verify, and process patient registration paperwork, insurance documentation, and Sliding Fee Scale applications.
- Obtain, manage, and release medical records in compliance with HIPAA and state/federal regulations.
- Utilize EMR systems (Athena 1 and Legacy) to accurately maintain and retrieve patient records.
- Request and track patient records from hospitals and medical providers, ensuring timely availability before patient appointments.
- Collaborate with clinical teams to support care coordination and quality improvement initiatives.
- Respond to medical records requests from insurance companies and other authorized entities promptly.
- Assist with troubleshooting department issues, including office equipment and workflow challenges.
- Maintain department competencies and attend required training sessions and meetings.
- High School Diploma or equivalent required.
- Experience in healthcare, medical records, or patient services preferred.
- Strong organizational and multitasking abilities.
- Proficiency in basic computer skills, including EMR systems and data entry.
- Excellent communication and customer service skills.
- Ability to handle sensitive information with confidentiality and professionalism.
- Strong problem-solving skills and ability to adapt in a fast-paced environment.
- Patience and attentiveness in interactions with patients and staff.
- Clear and professional communication skills.
- Ability to navigate multiple priorities and meet deadlines.
