Greater Somerset County YMCA's Association Office is currently seeking a Human Resources Assistant who will perform administrative duties related to the operations of the human resources department.
ESSENTIAL FUNCTIONS:
- Manages the pre-employment and onboarding process of part-time new hires and re-hires.
- Maintain and audit personnel files and updates them in a timely manner.
- Maintains department’s online and paper files on a consistent basis.
- Assists staff with system login issues, password reset requests and personal information updates.
- Regularly updates HRIS for staff’s completion of trainings and background checks.
- Manages the payment of staff for completed trainings (CPR, Praesidium, Paylocity, etc.)
- Processes required paperwork for part-time employee transfers, changes in job classification, salary increases, terminations, and other related employment matters.
- Orders all staff name tags
- Prepares all purchase orders (Intellicorp, Checkr, Name tags, etc.)
- Assists with employee referral tracking.
- Assists with supervisor training and onboarding sessions for new staff.
- Assists with job fairs and recruitment events.
- Assists with CPR communication of classes offered within our Association.
- Post FT jobs on YUSA and other job sites as needed.
- Answers and directs departmental phone calls.
- Receives and distributes office mail.
- Schedules and organizes appointments; takes minutes during departmental meetings.
- Proofreads and types documents and correspondence produced by department.
- May assist with preparation of human resource reports such as attendance, new hire, and turnover reports.
- Performs other related duties as assigned.
QUALIFICATIONS:
- Pursuing a degree/diploma in human resources or related field.
- High school diploma or equivalent required.
- Administrative assistant experience preferred.
- Excellent organizational skills and attention to detail.
- Extensive knowledge of office management systems and procedures.
- Ability to operate general office equipment.
- Excellent written and verbal communication skills.
- Working knowledge of an HRIS.
- Proficient in Microsoft Office Suite or similar software.
- Ability to maintain confidentiality and professionalism.
