OPERATIONS ASSISTANT

POSITION DESCRIPTION: Operations Assistant

POSITION PURPOSE:

To provide administrative support to the Scout Executive/CEO, Deputy Scout Executive, and Executive Operations Manager in structuring each day to build and improve operating paradigms that will maximize the teams ability to focus on the most critical tasks to maximize productivity on council priorities.

POSITION SUMMARY:

The Operations Assistant performs advanced, diversified, and confidential administrative duties requiring broad and comprehensive experience for the administrative team. The Operations Assistant will need to establish and retain total confidence from the Scout Executive/CEO, Deputy Scout Executive, and Executive Operations Manager for judgment and discretion including the handling of highly sensitive and confidential information in all responsibilities. Requires continuous use of technical and business vocabulary and a detailed knowledge of organizational operations, procedures, and personnel. Composes and initiates correspondence and memoranda and prepares presentations. Communicates regularly with high-level volunteers, department managers, and other staff on behalf of organization leadership.

ESSENTIAL FUNCTIONS:

  • Support risk and safety through the administration of insurance certificates and claims from members
  • Support the administration of membership standards, working on all aspects of Safe Scouting
  • Report business metrics, with the help of the Deputy Scout Executive
  • Complete administrative, legal and personnel tasks
  • Proofread and edit documents, reports, and presentations with attention to detail and accuracy resulting in a finished product

MATERIALS AND EQUIPMENT USED:

Computer, copier, telephone, audio-visual equipment.

PHYSICAL ACTIVITIES AND REQUIREMENTS:

Physical requirements include reaching, standing, walking, fingering, grasping, lifting, feeling, talking, hearing, repetitive motions, computer keyboarding, and driving a motor vehicle. Must be able to sit and work at a computer keyboard and be able to perform repetitive and stretching motions. While in the office, work is usually sedentary. Occasional heavy lifting of boxes, files, and equipment (up to 30 pounds).

Reading, detailed work, confidentiality, stress, problem solving, language, training, math, reasoning, verbal communication, written communication, customer contact, multiple concurrent tasks, frequent interruptions in a fast-paced environment, continual change.

WORKING CONDITIONS:

The employee is not substantially exposed to adverse environmental conditions.

WORKING RELATIONSHIPS, SUPERVISION, VOLUNTEER RELATIONS:

Recognize the importance of a good working relationship with other staff members. Recognize the importance of a close and harmonious working relationship with all volunteers. Maintain professionalism and confidentiality.

MINIMUM QUALIFICATIONS:

  • Possession of a high school education or equivalent.
  • Advanced proficiency of current Microsoft Office products.
  • Experience with managing meeting coordination and handling sensitive and confidential information.
  • Ability to interface with all levels of management, high-level volunteers and board members.
  • High level of organization and ability to process work quickly with excellence working with minimal supervision.
  • Skills on internet research and demonstration of intuitive ability to assume and link facts.

PREFERRED QUALIFICATIONS:

  • Experience providing support to executive management
  • Experience working in human resources
  • Possess a college degree or professional certification

PAY RATE: $20/ Hour
