POSITION TITLE: HR Coordinator/Executive Assistant
FLSA CLASSIFICATION: Hourly
SUPERVISOR’S TITLE: Executive Leadership team
PAY RANGE: $24 - $30/hour
Position Summary:
As the HR Coordinator/Executive Assistance for the executive leadership, you will perform administrative support activities and functions for human resources and the Executive team, ensuring timely execution of tasks and responsibilities.
Essential Functions & Duties:
- Prepare or maintain employment records related to events such as hiring, termination, leaves, transfers, or promotions, using human resources management system software.
- Interpret and explain human resources policies, procedures, laws, standards, or regulations.
- Process hiring or termination-related paperwork.
- Assist with payroll functions, such as maintaining timekeeping information and processing and submitting payroll.
- Assist with HRIS/Payroll system tasks and responsibilities such as processing benefit elections, expense reimbursement, and onboard and offboarding system tasks.
- Assist in collecting and maintaining HR Documentation and records
- Monitor and ensure completion of compliance obligations by HR compliance deadlines
- Address employee relations issues, such as harassment allegations, work complaints, or other employee concerns.
- Work with 3rd party support partners to seek clarification on matters and assistance with the executive of tasks and responsibilities
- Serve as the HR point of contact alongside the CAO
- Answer telephones and give information to callers, take messages, or transfer calls to appropriate individuals.
- Perform routine clerical and administrative functions such as drafting correspondence, scheduling appointments, organizing and maintaining resources and files, and providing information to internal and external parties
- Facilitate communication, projects and assignments under the direction of the CAO and/or the Executive team.
- Create, maintain, and enter information into databases, systems and/or tracking tools
- Use computer and other office equipment for various tasks
Communications:
- Communicates issues and concerns to Upper Management in a time sensitive manor.
- Communicate with employees and Supervisory Staff
- Document communications on Microsoft Teams under designated communication section for organization.
Knowledge/Abilities:
- Personnel and Human Resources - Knowledge of principles and procedures for personnel recruitment, selection, training, compensation and benefits, labor relations and negotiation, and personnel information systems.
- English Language - Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.
- Clerical - Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, stenography and transcription, designing forms, and other office procedures and terminology.
