What are the responsibilities and job description for the Office Assistant position at Green Acres Nursery and Supply?
The Office Assistant manages all incoming customers and business calls; directs visitors, vendors and business partners. The Office Assistant collects and distributes all company mail, both internal and external. Providing general administrative support to all the management staff.
Principle Duties and Responsibilities:
- Receive incoming telephones calls promptly and with enthusiasm; listening attentively to the caller, ask qualifying questions, and transferring them to the correct department. Communicates effectively and respectfully with both internal and external customers.
- Manage distribution of Contact Us email in-box.
- Provide enthusiastic, responsible assistance and direction to all telephone calls, visitors and employees of Powells
- Review all current information in Reception as well as Company Procedures necessary to direct calls and answer basic inquiries.
- Works well as a team member, showing courtesy and respect for co-workers.
- Mail distribution; outgoing and incoming.
- Monitoring and ordering of office supplies including all printer & copier ink and toner.
- Coordinates service calls with outside vendors for office machine service and repair
- Manage vendor check in process.
- Provide support to administrative departments, where appropriate, and all other departments with tasks and projects, as requested.
- Complete housekeeping tasks in administrative office & other duties as assigned
Knowledge, Skills, and Abilities:
- Bilingual in Spanish
- Excellent organizational and multitasking skills
- Good communication and team working skills
- Friendly and enthusiastic
- Experienced in Microsoft Software Programs (Outlook, Word, Excel) and other office machines (Printers, Copiers, etc.).
