Job Summary:
We are seeking a dedicated and organized Surgical Assistant to join our team at Green Bay Advanced Oral Surgery & Implant Center. The ideal candidate will play a key role in assisting with oral surgery procedures, maintaining a sterile environment, managing patient data, and providing high-quality support to our patients and staff. This position also offers opportunities for cross-training in administrative duties, with the potential to advance to the role of Implant Coordinator.
Green Bay Advanced Oral Surgery & Implant Center is a modern Oral Surgery Clinic that opened in March of 2024. Our goal is to provide the highest level of Oral Surgery Care for our patients. Our Philosophy is to provide personalized and customized care to meet the uniqueness of each individual patient. This practice is one surgeon, one location, in Green Bay Wisconsin.
Key Responsibilities: Surgical Assistance & Patient Care:
- Assist in Oral Surgery Procedures: Work alongside the surgeon during oral surgeries, including extractions, implants, and other complex procedures.
- Surgical Instrument Sterilization: Ensure all surgical instruments are properly cleaned, sterilized, and prepared for use according to safety protocols.
- Vital Signs & Patient Monitoring: Take and record patients’ vital signs (e.g., blood pressure, pulse, temperature) before, during, and after procedures.
- IV Sedation Oversight: Assist with IV sedation procedures, monitor patient condition throughout the sedation process, and respond to any changes in status.
- Biopsy Submission: Collect biopsy samples and submit them to laboratories for analysis, following proper protocols.
- Treatment Planning: Assist in the creation of complex treatment plans, ensuring all necessary data is gathered for the surgeon’s review.
- Data Entry & Record Keeping: Accurately document patient information, treatment details, and surgical notes using medical terminology and our electronic health record system.
Clinical Duties:
- Inventory Management: Track and maintain the supply inventory for the surgical room and office, ensuring all materials are stocked and ordered as needed.
- Room Cleaning & Preparation: Clean and disinfect surgical rooms and equipment between procedures to maintain a safe and hygienic environment.
- Patient Payments & Financials: Collect patient payments, assist in the setup of payment plans, and process any insurance billing details as directed.
- Follow-Up with Patients: Provide follow-up with patients on post-operative care instructions, appointment reminders, and treatment plan updates.
Administrative & Front Desk Support (Cross-Training):
- Phone Management: Answer phones, provide accurate information to patients, and direct calls to the appropriate departments.
- Appointment Scheduling: Schedule patient appointments, ensuring all details are entered correctly into the system.
- Referral Processing: Process referrals from other dental or medical professionals, ensuring all necessary information is accurately communicated.
- Patient Messaging & Follow-Up: Respond to patient messages, ensuring timely follow-up and maintaining excellent customer service standards.
- Processing Collections & Payments: Manage patient collections, set up payment plans, and send statements for outstanding balances.
- Insurance Claims: Assist with insurance claim submissions, follow up on unpaid claims, and provide necessary documentation.
- Medical Records Requests: Process requests for medical records and send them to the appropriate parties as required.
- Front Desk Coverage: Provide occasional front desk coverage during peak times, ensuring smooth patient flow and customer service.
- Mail & Package Processing: Receive, sort, and distribute mail and packages in an organized and timely manner.
- End of Day Letters: Send end-of-day (EOD) letters to referring providers with updates on patient status and procedures.
Future Responsibilities:
- As you gain experience, there is potential for this position to evolve into the role of Implant Coordinator, overseeing patient communications and the management of dental implant procedures.
Qualifications:
- Education: High school diploma or equivalent required. Certification in dental assisting or surgical assisting is preferred.
- Experience: Minimum of 1 years of experience in a surgical or dental assisting role, preferably in an oral surgery or implant setting.
- Technical Skills: Familiarity with medical terminology, IV sedation procedures, and surgical instrument handling. Strong data entry and note-taking skills are a must.
- Personal Traits: Detail-oriented, compassionate, and a team player. Must have the ability to multitask in a fast-paced environment and maintain a calm, professional demeanor.
- Cross-Training Willingness: Open to learning administrative duties and evolving within the organization.
- Certifications: Current CPR certification is required. Additional certifications (e.g., DAANCE, X-ray, or sedation certifications) are a plus.
