JOB SUMMARY:
This position will provide administrative support to the Facilities Department.
Job Responsibilities:
- Create & delegate work orders and perform data entry in Limble computerized maintenance management system.
- Create, format, and edit spreadsheets and documents.
- Compile reports and project binders.
- Authorize departmental credit card transactions in Chrome River accounting program.
- Answer and dispatch radio calls for Facilities Department.
- Operate Crestron lighting control system for daily operations and special events.
- Assist in coordinating contractor access and equipment schedules.
- Update and post staff event schedules, maintain department calendar, keep information current on staff bulletin board.
- Assist with annual key audit.
- Inventory and order office supplies for department.
- Create and distribute staff meeting agendas; take and post staff meeting notes.
- Manage uniform inventory and allocate appropriate apparel to staff.
- Assist with sourcing and purchasing parts and other items for the department.
- Maintain an organized and efficient office environment.
- Assist with the coordination of Facilities duties for games and other special events.
- Assist with checking in shovelers during large snow events.
- Assist with other tasks and projects as they arise.
JOB QUALIFICATIONS:
- 3-5 years administrative experience required
- Significant understanding of Microsoft Excel, including developing and formatting spreadsheets, and creating formulas. Proficiency in Microsoft Word and Outlook. Working knowledge of Adobe Acrobat. Possess a willingness to learn new software.
- Quick learner, adaptable to task changes throughout the workday.
- Excellent organizational skills and the ability to work under deadlines necessary.
- Possess a resourceful personality with the ability to problem solve.
- Must have a willingness to handle routine office tasks. Possess excellent oral and written communication skills, as well as excellent customer service skills.
- Flexibility to work evenings, weekends and holidays, as needed.
- Working all home games and other large stadium events required.
Physical Demands and Work Environment:
- Ability to sit, walk, and stand for extended periods of time.
- Ability to remain in a stationary position for periods of time.
- Ability to focus on assignments for periods of time.
- Operates in a professional environment.
- Role routinely uses standard office equipment.
