Position Summary:
This position supports the work of the Y, a leading nonprofit committed to strengthening community
through youth development, healthy living and social responsibility. The Membership Coordinator will be
the first point of contact for members and guests. The role is to ensure a positive experience for all
visitors by providing exceptional customer service, managing membership inquiries and registrations, and
assisting with administrative tasks.
Essential Functions:
1. Front Desk Operations:
- Greet members and guests with a friendly and welcoming attitude.
- Provide cause-driven tours to promote membership at our YMCA.
- Direct members and guests to the appropriate facilities or staff members.
- Maintain a clean and organized reception area.
- Monitor access to the facility and ensure only authorized individuals enter.

Handle member disputes or conflicts professionally and diplomatically, and escalate
complex issues to higher management when necessary. - Assist in scheduling appointments and managing reservations if applicable.
- Handle all incoming and outgoing communications related to memberships promptly.
- Provide information about facility amenities, services, and programs.
- Assist members and guests with general questions and requests.
2. Membership Management:
- Process membership inquiries, applications, renewals, and cancellations promptly.
- Process membership payments and update member records in the database.
- Verify and validate membership cards or access passes.
- Address member concerns and resolve issues related to membership.
- Maintain accurate membership records and files.
- Assist in the development of membership recruitment strategies.
3. Supervisory Duties:
- Manage front desk staff, handle employee disputes professionally and with fairness.
- Hire, onboard, and train new front desk employees.
- Create front desk schedule monthly, occasionally fill in for shifts when replacements cannot be found.
- Be knowledgeable and train Front Desk team on all processes and procedures, including emergency procedures, evacuation procedures, and training manuals.
4. Additional Duties:
- Assist with and be present at all Y events and community engagement events.
- Other duties as assigned.
Qualifications:
- Certifications required within 30 days of hire: CPR/AED, and First Aid.
- Excellent interpersonal and problem-solving skills.
- Ability to relate effectively to diverse groups of people from all social and economic segments of the community.
- Five or more years of previous customer service, sales, supervisory, or related experience is required.
