Job Purpose
The Administrative Specialist is responsible for assisting in the overall day-to-day operations of Green Courte Residential Holdings (GCRH) corporate office and for maintaining a high level of hospitality and guest excellence in serving others.

Duties and Responsibilities
Reception
- Greet all visitors and inform the party they are visiting.
- Answer main phone line and transfer calls, as appropriate.
- Provide back-up administrative support for Executive Assistants, as needed.
Administration
- Under the direction of the Office Manager and Human Resources, oversee and perform the tasks required for the day-to-day operations of the GCRH corporate office to ensure smooth and efficient operations.
- Maintain the cleanliness and organization of the kitchen, breakroom, conference rooms, and overall office space.
- Under the direction of the Office Manager and Human Resources, act as the liaison with building management in relaying all communications to employees regarding building policies, maintenance, events, etc.
- Weekly audit and replenishment of office supplies; ensure all office supplies are fully stocked.
- Responsible for the maintenance, ordering and inventory of kitchen supplies; ensure supply areas and kitchen are fully stocked daily.
- Ensure copiers and copy area are adequately stocked and maintained.
- Manage all incoming and outgoing mail and packages; sort incoming items and deliver them to each department daily; oversee messenger deliveries, FedEx, UPS; ensure overnight deliveries are picked up by carrier nightly; stamp outgoing mail daily and create certified mail, as necessary.
- Coordinate workspace set-up and supply for new hires including business cards, notepads, name plate, welcome sign, and office supplies.
- Maintain inventory and distribution of all desk keys, office and file cabinet keys.
- Maintain company phone lists for corporate and field locations.
- Assist Executive Assistant with corporate travel account (Concur).
Human Resources
- Help prepare and organize internal office events, i.e., celebrations, volunteer events, and other team events.
- Provide administrative support to Human Resources team (filing, mailings, special projects, etc.).
- Perform other administrative functions and special projects as needed.
Qualifications
- 1-3 years administrative experience required
- Advanced computer skills, knowledge of Microsoft Office programs
- Strong interpersonal, communication and organizational skills are a must
- Outstanding attention to detail
- Ability to quickly problem solve
- Professional and confident demeanor
- Enthusiastic individual, with a positive outlook and a strong work ethic
Working Conditions
This position operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, printers, photocopiers, filing cabinets and fax machines.
