Position Summary
We are seeking a highly skilled Payroll Tax Resolution Specialist with experience in MasterTax and UKG to join our team. This role is responsible for managing and resolving tax notices, ensuring compliance with tax regulations, and facilitating third-party authorization (TPA) and power of attorney (POA) access. The ideal candidate will have at least two years of experience in payroll tax resolution and be comfortable working with tax agencies, clients, and internal teams to address and resolve tax-related issues efficiently.
ESSENTIAL DUTIES AND RESPONSIBILITIES
The essential functions include, but are not limited to the following:
- Tax Notice Resolution: Independent review, research, and resolve payroll tax notices from federal, state, and local agencies.
- System Expertise: Utilize MasterTax and UKG to monitor tax filings, payments, and discrepancies, ensuring timely resolution of issues.
- Compliance Management: Ensure all tax issues are handled in accordance with current tax laws and agency regulations.
- Third-Party Authorization & POA: Assist with obtaining and maintaining TPA and POA access for client accounts, ensuring proper authorization for tax filings and agency interactions.
- Agency Communication: Act as a liaison between clients and tax agencies to resolve tax discrepancies, request penalty abatements, and obtain necessary tax documentation.
- Documentation & Reporting: Maintain accurate records of tax notices, resolutions, and agency communications within internal tracking systems.
- Client Support: Provide guidance and support to clients regarding tax notices, system issues, and compliance matters.
- Process Improvement: Identify opportunities to streamline tax notice resolution processes and improve efficiency.
- Service Level Agreements (SLA) Compliance: Ensure all tax notice resolutions, TPA/POA requests, and agency communications are handled within established SLA timeframes to maintain efficiency and compliance.
- Proactive Problem-Solving & Big-Picture Thinking: Identify potential tax compliance risks, recurring issues, and process inefficiencies to implement proactive solutions that improve overall tax operations and prevent future discrepancies
- Efficient Tax Issue Resolution: Quickly and accurately resolve a high volume of complex tax issues while ensuring compliance with federal, state, and local regulations.
- Tax Queue Management & Follow-Up: Monitor and maintain the tax notice queue, ensuring all cases are prioritized, addressed, and resolved within established timeframes, with proactive follow-ups to ensure completion and compliance.

MINIMUM QUALIFICATIONS (KNOWLEDGE, SKILLS, AND ABILITIES)
- Associate’s degree or equivalent combination of education and experience
- Minimum 2 years of experience in payroll tax notice resolution, compliance, or a related field.
- Proficiency in MasterTax is preferred
- Strong understanding of federal, state, and local payroll tax regulations.
- Experience handling third-party authorization (TPA) and power of attorney (POA) processes.
- Excellent communication and problem-solving skills with the ability to manage multiple priorities.
- Strong attention to detail and organizational skills.
- Ability to work independently and collaboratively in a fast-paced environment.
- Proficiency in Zoho Applications and Microsoft Office Suite (Excel, Word, Outlook) and other payroll/tax software preferred.
- Proficient in using government tax agency websites, EFTPS, and bulk filing systems to submit tax payments, filings, and resolve compliance issues efficiently.
- Prior experience working with tax agencies and resolving complex tax issues.
- Knowledge of multi-state payroll tax compliance.
- Experience with electronic tax filing and payment processes.
- Proficiency in UKG preferred
- Strong customer service and effective communication skills
