We are a family-owned event management company located in Saco, Maine looking for an exceptional event and marketing coordinator. We have an immediate full time opening for a team member with hours from 9-5, Monday through Friday.
We work in a beautiful downtown Saco office in a restored Victorian building. We have free parking and have a dog-friendly office.
You are naturally organized, accurate, super detail-oriented, smart, and have excellent communications skills (written & verbal). You may even have experience with planning events or managing projects. You are adaptable, kind, and retain your sense of humor under pressure!
If you join our team you will be assisting in supporting our events in all kinds of ways! Researching vendors, ordering swag, gathering speaker details, processing applications, preparing enewsletters, preparing namebadges and exhibitor packets, gathering materials for program guides, managing and posting social media updates, onsite staffing, providing exhibitor logistics support, and other office/event management needs.
We are a small, nimble team that works hard to provide excellent value for our customers. We all are willing to roll up our sleeves to do whatever needs to be done to that end and care deeply for both our customers and each other.

Job Expectations – Brilliant Event & Marketing Coordinator
- Support the Logistics Director with executing the yearly events calendar (conferences, virtual events, trade shows, etc.)
- Research vendors (catering, decorators, floral etc.) and choose the best combination of quality, cost and terms
- Collect and organize speaker information and coordinate distribution as needed
- Produce communication (emails, enewsletters, social media) for attendees and key stakeholders
- Research and secure promotional items and activities
- Update websites with event details
- Plan event with attention to financial and time constraints, understand requirements for each event
- Develop and work within event budget
- Provide general administrative assistance including ordering promotional materials, booking reservations, data entry, and invoicing
- Support sales in processing orders and applications.
- Generate post event surveys. Generate reports and dashboards to monitor and analyze events as required
- Evaluate event’s success and provide reporting
- Travel and serve as an onsite member of the conference team for events as assigned.
- Assist in setup, execution and breakdown of event
- Responsible for quick on-the-ground decisions / troubleshooting and determining the best course of action
- Provide recommendations for continuous improvement within your role and the organization
- You may be asked to assist with other duties to achieve the goals of the association.

Pay: $46,000.00 - $52,000.00 per year
