Job Summary
We are seeking an Executive Assistant to contribute to Greene County Health's mission and goals of patient satisfaction, quality of care, cost competitiveness, and productivity by providing high-level administrative support the leadership team. The Executive Assistant works with GCH leadership to ensure that communication, administrative and logistical needs are met with accuracy and efficiency.
Responsibilities
- Schedule meetings, prepare agendas, correspondence, reports, miscellaneous documents and minutes for meetings as needed.
- Provide administrative support to GCH Leadership.
- Manage calendars and travel arrangements.
- Oversee office supply orders. Open and distributes mail.
- Assist in Federal and State grant preparations, new agency projects.
- Manage internet and security systems.
- Ensure compliance with and coordinates drills for Emergency Preparedness.
- Responsible for managing GCH’s Facebook page and outreach
- Oversees Human Resource functions such as: manage and schedule all new employee orientations, schedule and track employee interviews, keep personnel files up to date and ensures compliance, assists in staff and provider meeting preparation, administers employee benefits, tracks provider CME. Maintain other miscellaneous office files.
- Verify licensure and qualifications before and after hire.
- Coordinate annual employee engagement survey; summarizes results as appropriate.
- Establish and maintain effective and cordial working relationships with staff, board members and visitors.
- Demonstrate attention to detail in verbal and written communication ability, including grammar, punctuation and spelling skills.
- Demonstrate positive interpersonal skills. Interface with all levels of the organization.
- Understand complex administrative requirement of talent management in an FQHC.
- Juggle and meet multiple requests and deadlines; maintain high detail orientation and accuracy.
- Demonstrate knowledge of the principles and practices of secretarial science.
- Develop and follow established routines, modifying procedures occasionally as needed.
- Work effectively with minimal supervision and maintain a high level of confidentiality.
- Assist the CFO with accounts payable and payroll. Update and maintain expense vouchers and receipts.
- Reconcile records with internal employees and management or external vendors or customers.
Requirements
- High School Diploma or equivalent
- Previous office experience preferred
- Bookkeeping experience preferred
